Hours: 37.5 hours per week – occasional evening/weekend working

Age UK Calderdale & Kirklees

Age UK Calderdale & Kirklees is a local independent charity working to improve the quality of life for all older people living in Calderdale and Kirklees. We are a brand partner with Age UK nationally and a member of the Age England Association. This enables us to have access to a range of national services, publications and support and also gives us an opportunity to campaign locally and nationally.

We employ 135 people; have 140 volunteers and a turnover of approximately £2.1 million. We have three full time and three sessional companion centres, providing daytime support to older adults. We have two office bases, in Halifax and Huddersfield, where our Trading activities, Information and Advice services, Mobility services and some community activities are conducted.

We help older people by providing practical, reliable services, enabling them to live the independent life they want and giving families peace of mind, knowing that relatives are being well looked after.

Structure of the organisation

We have a Board of 12 Trustees, along with a separate Trading Board for Enterprises.

The Chief Executive works alongside the Finance Executive and Client Services Executive

There are four operational leads for Day Services; Human Resources, Quality and Health & Safety; Fundraising & Marketing; and Volunteers / Community.

As we implement the Charity Log system across the organisation our First Point of Contact staff will direct clients accordingly into our integrated services for support, to our benefits advisors (if appropriate), Home from Hospital Services, Shopmobility, and independent support products.

A high proportion of our staff work independently, supporting people in their own homes.

Main Purpose of Post

The post holder will act as the C Executive within the organisation providing strategic vision, leadership and management. The post holder will be responsible for advising and informing the Board and implementing all agreed decisions.

The post holder will work with the Board to develop the activities of the Organisation and bring a wide local, regional and national perspective to its work.

The post holder will be responsible for advising the Board and ensuring the Organisation meets all its legal obligations with regard to Charity and Company Law, Employment Law, Health & Safety and any other legal requirement which may impinge upon the proper running of the Organisation.

Principal Duties

Leadership & Management

•  To work with the Board on the development and implementation of the Organisation’s mission, strategies, policies and procedures and to ensure that its aims and objectives are met.

•  To review service delivery and organisational structure to ensure, as an ongoing process, that Age UK Calderdale & Kirklees continues to be an effective and efficient service provider in the changing funding environment. Report and recommend changes to the Board.

•  To ensure that there is an organisational strategy and plan in place that reflects both internal and external opportunities for growth and sustainability, that is owned by all key stakeholders.

•  Communicate with staff and volunteers to explain the need for change and work alongside them to implement it.

•  To work with the Executive Team to provide effective leadership and management of the Organisation, its staff, volunteers and other resources in order to promote and enhance the wellbeing of older people across Calderdale and Kirklees.

•  To ensure that proper procedures exist throughout the Organisation for the recruitment, selection, training, development and line management of staff thus ensuring that the operational objectives of the organisation are carried out effectively.

•  To manage, motivate and support staff through regular supervision and appraisal; offering appropriate training and development opportunities; and further developing communication strategies.

•  To receive regular supervision from the Chair and a nominated Trustee from the Board of Trustees.

•  To ensure effective communication throughout Age UK Calderdale & Kirklees, fostering positive working environments across all sites.

•  To ensure that the organisation maintains and develops its commitment to involving and supporting volunteers and acknowledges in the way we treat volunteers, their immense contribution to the Organisation and our clients.

•  To ensure that the Organisation has effective systems and appropriate accreditation for Quality Assurance.

•  To work with the Board to review regularly all risks faced by the Organisation and to ensure that policies and systems are put in place to mitigate or lessen identified major risks.

Services & Activities

•  To work with the Executive Team to ensure that contracts and/or agreements for the provision of current services are properly negotiated, secured and monitored.

•  To actively pursue new/alternative sources of funding for the development of new and existing projects and services.

•  To ensure effective tendering and bid writing skills are developed within the organisation and take a lead on tenders and funding opportunities.

•  To work with the Executive Team to ensure that existing services and activities are maintained and operated to a high quality. To review such services on a regular basis and expand and develop new services to meet the needs of older people in a diverse and equitable manner across Calderdale and Kirklees, as appropriate.

•  To ensure all necessary quality processes are in place and that accreditation is achieved.

•  To develop charged-for services and to market those services to potential clients, their families and carers, and to partner organisations and funders.

•  To facilitate collaboration, liaison and offer support to the Age UKs across the Yorkshire and Humber region.

Finance & Administration

•  In conjunction with the Treasurer and Executive Teams, to ensure the Organisation has proper budgetary and financial controls in place, that monthly management reports are presented to the Board in a timely basis and that annual accounts are produced and filed in line with statutory requirements.

•  To be responsible, with the Finance Executive, for analysing and monitoring the performance of the trading activities of the organisation and to act as the Approved Person under the Regulations of the Financial Conduct Authority.

•  To act as Company Secretary, providing service the Board and its Committees ensuring preparation and timely circulation of relevant papers, including monthly management accounts and the Annual Report.

•  To ensure the proper insurance, management and maintenance of all office bases, IT and general equipment used by Age UK Calderdale & Kirklees.

•  To oversee the development of a fund raising strategy and to ensure that implementation continues.

•  To ensure that Age UK Calderdale & Kirklees meets its statutory and legal duties.

External Relationships

•  To take an active role in Age UK locally, regionally and nationally as appropriate, maintaining effective partnership working at all levels.

•  To ensure that the Organisation maintains and builds upon established working links with statutory agencies and to foster partnership and inter-agency working with and between Age UK groups and relevant voluntary sector organisations across Calderdale and Kirklees.

•  To ensure that the Organisation maintains a high public profile including strong positive links with the local press, radio and television.

Personal and Professional Development

•  To be responsible for ensuring there is an appropriate Induction, Staff Review and Development system in place and operating across the Organisation.

•  To liaise with the Chair and nominated Trustee to undertake a regular Staff Development Review and personal review of performance.
