FOR THE USE OF SPACE IN THE DUBLIN CITY GALLERY THE HUGH LANE
Dublin City Gallery The Hugh Lane Gallery houses the foremost public collection of modern and contemporary art in Ireland, where the best of International and Irish paintings hang side by side. The primary objective of these guidelines is to maintain the integrity of this unique and historic building and to ensure the safety and security of the Galley, all works of arts, visitors and staff. Functions are held in the Foyer Area and in the Sculpture Hall only (not in Galleries).
Regard must be had at all times as to the impact that any functions may have on the day to day operations of the Gallery.
CAPACITY
The Gallery can accommodate the following numbers:

(If Scultpure Hall and Foyer area used together, numbers can extend to 350

The Gallery is a wheelchair acessible building.
FEES FOR HIRE
Duration of the Event:
Up to 2.5 hours: €2,500
Up to 4.5 hours: €4,000
(Fees above inclusive of 23% VAT)
Fees include the service of Gallery Attendants to provide security and safety of all works of art in the Gallery and visitors and staff)
Photoshoots or Filming:
Minimum Charge/1st Hour: €300
Charge per hour thereafter: €150
(At an additional cost to the Organiser, the Gallery can arrange for a Tour Guide to give a tour of the Gallery as part of their event).
Dublin City Council has sole discretion as to whether any space within Hugh Lane Gallery is made available for use to third parties.
INSURANCE
Your Public Liability Insurance Certificate must be submitted prior to the event, clearly stating on the policy that Dublin City Council is indemnified to the amount of €6.4million. The Organiser is responsible for all and any claims that may arise directly from events.
HEALTH & SAFETY
A Safety Statement, may be required from the Organisers of the event outlining how they, or any contractors working on their behalf at the event, propose to operate in a safe manner within the Gallery.
Under the Fire Services Act 1983 & 1988, the fire exits must be kept clear of people/obstacles at all times. The centre aisle runnng through the Gallery is an exit route and must be kept clear and remain the same width as the exit doors so as not to create a danger to the safe evacuation of people in the event of an emergency.
To comply with Health and Safety legislation, a person must be nominated to act as Designated Safety Representative for the duration of the function/ event (stated on Booking Form). This person should identify themselves at the start of the function to the Gallery’s Safety Representative and will agree to liaise with them during the function.
A safety announcement pointing out all the fire exits, place of assembly and stating that the building is a no smoking zone is made at the start of the function and at regular intervals by the Designated Safety Representative.
A procedure must be decided in advance for the safe evacuation of any disabled guests who may be in attendance between the Designated Safety Representative and Gallery staff.
PHOTOGRAPHY/FILMING
Prior written approval is required from Dublin City The Hugh Lane Gallery in the case of the following requests. If permission is granted, the Gallery must be forwarded copies of any/all publications (printed or digital) if any Gallery images are to be used, before going to print or digitally displayed. Dublin City The Hugh Lane Gallery must be fully acknowledged in all cases.

· Fashion or Promotional Photoshoots
· Filming and Documentaries
· No artwork / exhibits will be moved by the Gallery to facilitate any of the above.
· Public Liability Insurance indemnifying DCC of up to €6.4million must be submitted.
· Filming must take place at the stated locations, at agreed dates and times only.
· There must be no obstruction of access or egress to the Gallery
· The Applicant must not create a noise nuisance which would impact on the enjoyment of visitors to the Gallery
· The applicant must satisfy themselves that the person responsible for drawing up and implementing their Health and Safety Statement and Risk Assessment Plan, is competent to do so.
· Sole responsibility lies with the applicant to ensure that all elements of plans are carried out as stated in the documentation submitted to Dublin City Council for the duration of the event.
· Dublin City Council will have no responsibility for the management of safety for the duration of the filming.
· The Applicant must comply with all Health and Safety Legislation, the Safety, Health and Welfare at Work Act 2005, and all regulations made there under, and all other relevant legislation, regulations and approved Codes of Practice, to ensure the safe running of this filming.
· The applicant is responsible for all and any claims that may arise directly from filming event/s.
· Dublin City Council must be credited in the production titles for their assistance in the making of the program/film/series and our logo included where possible.
CATERING
Catering/Bar Company must provide their own tables and tablecloths.
The serving of alcohol is permitted but with the exception of draught beer. Floating bar staff must be provided to serve, collect, and pick up glasses during a function.
Food or drink is not permitted in the Galleries at anytime.
All equipment, rubbish, glasses, bottles and any other items brought into the Gallery by the Organiser, must be removed from the Gallery no later than 9.00 a.m. the following day. DublinCity Council will not be held liabile for any loss / damage to any item left in storage in the Gallery by the Organisers.
The Gallery does not have a specific catering company that a client is required to use. The in-house Cafe operators are Itsa Café and if you wish to contact them in regard to your catering requirements - Director Peaches Kemp @ 086 280 9333 – email.
GENERAL
Smoking is completely prohibited in all parts of the building
No parking on the forecourt. The forecourt may be used to drop off and collect only.
No decorations / masking tape is permitted on any walls. Standalone backdrop may be used behind a stage.
Appropriate signage may be used inside the entrance which relates to the event
The Gallery can provide a limited number furniture & fittings for use by the Organisers. Please ask when you are making a booking.
Dublin City Gallery The Hugh Lane reserve the right to change or amend these terms and conditions at any time.
