JOB DESCRIPTION FOR THE POST OF

PROJECT DEVELOPMENT OFFICER

The purpose of the job is primarily to developand administrate the Dental Wellness Trust. You will also be required to help with conferences, courses and general administrative duties that the charity organises from time to time.

Administration

  • Manage the administration of the charity
  • Diary management for Dr Greenwall when in Cape Town
  • Keep up-to-date with requirements of Charity Commission
  • Ensure all banking is closely monitored, liaising with Accounts
  • Prepare the annual report
  • Monitor and oversee the collection of funds and dental donations
  • Deal with all email correspondence and enquiries for the charity
  • Organise committee meetings, preparing the agenda and taking minutes
  • Take an active role in staff & Trustee meetings on a regular basis

Project Management

  • Set up and maintain contact with other charities and stakeholders
  • Prepare project proposals and plans, and manage the implementation of projectsby maintaining relationships with key stakeholders
  • Prepare resources for projects e.g. training manual, presentations, worksheets
  • Monitoring and evaluation of projects
  • Specific project work as and when required
  • Compiling and editing the ‘Healthy Eating for Dental Wellness’ fundraising cookbook
  • Events Management e.g. gala dinner, book launch
  • Preparation and development of the ‘GOOD DEED’ project

Fundraising, Communications and Marketing

  • Research funding opportunities and write funding applications and proposals to Trusts and Corporate Sponsors
  • Promote and assist in marketing of the charity,including managing social media channels (Facebook and Twitter)
  • Write regular press releases for charitable activities
  • Manage and edit the charity website, keeping it up-to-date
  • Assist with production and distribution of donations, leaflets, charity merchandise etc
  • Produce the charity newsletter 3 times a year (Spring, Summer/Autumn and Winter)
  • Assist with production of articles and manuscripts for publication
  • Monitor and develop charity marketing materials e.g. pens, t-shirts

Managing and Supporting Volunteers

  • Respond to all enquiries from interested volunteers
  • Volunteer recruitment and selection
  • Monitoring fundraising activities
  • Produce the volunteer’s e-newsletter
  • Develop the Student Representative Network to dental students across the RSA, UK and other representatives,
  • Coordinate volunteers visiting/working on projects in UK and SA
  • Prepare and participate in staff meetings as well as Trustee meetings to discuss aspects of the service, and consider improvements

General Expectations

All team members are required to:

  1. Acquaint themselves with the Health & Safety and fire regulations and the accident notification system, whilst taking all possible steps to safeguard the health and welfare of staff, patients and colleagues during working hours, in accordance with the Health & Safety at work act 1974.
  2. To be aware of the need to preserve strict confidentiality in dealing with donations and should not disclose information obtained in confidence except to authorised persons or organisation as instructed. (See separate policy).
  3. Tocomply with the Data Protection Act 1984, whichregulates the use of computerised information.
  4. To use computers with due care and attention. Computers and internet access must not be used for personal purposes, other than during lunch breaks and with the Principal’s permission. When accessing internet, vigilance must be observed in order to protect the network and database.
