Community CardProgram Rollout

For principals contemplating participation in the eScrip Community Card Program Rollout,

I highly recommend it. Our portion was simple to complete. We received 196 applications

in a very short time. In addition to the money that the program will generate, our parents are happy for such a simple fundraiser. Thank you for the opportunity to participate in the program.

Ten steps to a successful rollout:

1. School volunteer arranges for distribution of "card request" flyer and "incentive flyer" to all school families. School volunteer takes the lead in collecting forms, registering and sending cards and welcome letters to families.

2. School can use contact letter(s) provided for sign up, incentive program and thank you letter (these are just ideas and can be re-worked).

3.Students bring home card request flyer to be filled out by parents. (Include incentive flyer as well)

4.Students return completed form to teacher. Teacher drops off forms in collection bin located at front office of each school. Students are motivated by an incentive program. Suggestions for this program are outlined below.

5.Periodically, and at end of the collection period, the contents of each bin are collected by the school volunteer.

6. Community Cards, which can be picked up at merchant or ordered through eScrip, are then registered to each family and mailed by school/district along with “Thank you letter” from school/district to each family that signs up.

7.Parents scan HOWSCommunity Cards at registers each time they grocery shop atHOWS and a donation is made to the designated school.

8.eScrip processes all transactions and makes monthly deposits to the school/organization’s checking account.

9Detailed reports are available online for each school, including information in regard to amounts donated as a result of these purchases.

  1. Schools and districts can continue to work together through various campaigns to increase program enrollment and contributions made through the program.

Incentive Programs Ideas:

Setting up a school or classroom incentive program is the key to a successful campaign.

Ongoing communication and visibility of the incentive (goal thermometer, weekly newsletters, etc) provides visibility and ongoing positive feedback to students. Classroom competition is the most effective type of sign-up promotion. We have included one idea-which is a party for the top classroom. Your school may have it’s own incentive ideas—rewarding top students is an additional way to motivate students. Be creative, make it fun and rewarding!

Reward Programs

Below we provide a fun example of an effective reward program to generate community card sign up. This could be done several times a year with a different theme, such as an ice cream party. These are fun contests for the children in each class and will help your school make the most of the HOWS Community Card Program.

HELP OUR SCHOOL EARN DONATIONS FROM HOWS

The class in our school who brings in the highest number of completed HOWS forms to support the school will receive a free PIZZA PARTY- compliments of <school name>!

  • Simply fill out the attached Card Request form completely
  • Encourage your friends and relatives to sign up as well (copy and distribute flyer)
  • Have your child(ren) return the Card Request form(s) by <Date> to their homeroom teacher to be entered into the contest

This program is a free and easy way to generate money to increase the availability of programs, learning materials, and opportunities for your children at our school.
