Sub: -YVU, Kadapa–CDC office–Affiliated Colleges–Online affiliation process– Call for Quotations – Reg.

Ref: Vice-Chancellor’s orders dated 06-04-2017.

I am to inform you that,the CDC office would like to implement online process for granting/renewing temporary/permanent affiliation to colleges having UG, PG, BEd, MEd, Integrated BEd, BPEd, DPEd and Law courses under YVU jurisdiction from the academic year 2017-18. I therefore request you to kindly send your lowest quotation by registered post in triplicate directly to The Registrar, Yogi Vemana University,Vemanapuram,Kadapa-516003,A.P., so as to reach on or before 17-04-2017.

Purpose: The main purpose is to create a High Quality Secured Online Application to capture the real time data of college, land, building infrastructure, faculty members and other stake holders as per the requirement from the affiliated colleges of the YVU.

Requirements/Specifications

The following modules to be developed as per the requirement of the University

  1. CDC/Affiliation Portal

Frontend/public/college information display
  • Design and Development of Portal with the following features

  • About the CDC along with vision, mission

  • About the Dean, co-ordinators / other officers of the directorate

  • Dynamic display of Circulars, News, Events, Tenders, Notifications

  • Viewing College Specific Confidential Letters with College Login

  • Displaying College specific information to the public / students

  • Feedback mechanism to get from different stake holders like faculty, parents, students etc related to affiliated colleges

AdminInterface to CDC to support above features/modules

  1. Affiliated Colleges Interface

  • Design and Development of Affiliated College Specific Information

  • Design Affiliation application Format. The following can enter/edit/delete based on their requirement but these features may be added extra if needed as per the need

  • College Information

  • Principal Details

  • Details of Educational Society

  • Correspondent Details

  • College Land Details with upload option of land documents

  • Intake Details for 3-4 years as per the requirements

  • Academic Performance Details for 3-4 years as per the requirements

  • Courses with specialization and intake

  • Staff Members (Complete Profile of the Staff members along with their educational and Professional details along with supporting documents with upload option)

  • Consolidated Details of the Staff Members to get the cadre ratio

  • Laboratories Details as per the course requirement

  • First Year Course Details

  • Instructional Area of college

  • Built up Area as per the norms / requirement of the course.

  • Library Details as per the norms / requirement of the course.

  • Computer Facilities as per the norms / requirement of the course.

  • Examination Branch (Details as per the university set standards for smooth running of the exams)

  • College & Fee Details (different categories of the fee collected by the colleges from the students)

  • Corpus fund details of the college

  • Income & Expenditure Details of the college

  • Placement Details of the students

  • Compliance of specific data to be submitted

  • Conditions of last approval if any.

  • College Facilities as per the requirement of the courses offered by the colleges

  • College Photos for uploading as per the requirement of the university. (Need dynamic option to change as and when needed)

  • Any other Information

  • Payment Details (for application fee or any other fee to be paid along with application).

  • Declaration to be given by the colleges for the authenticity of the data submitted online by the colleges.

  • View/Print Application Form for submitting to the university along with required supporting documents.

  1. FFC Convener Interface

  • University Admin Interface

  • Management of Inspection Committee(IC) Members

  • Management of IC Members Data

  • Add/Edit/Delete Committee Members from Admin

  • Creation of IC Committee Convener and Members for a specific College

  • Automatic Creation and sending Login details to the Committee Convener

FFC Reports
  • View / Print the Report / Details submitted by the convener

  • Finalise / Update the details of the colleges inspection deficiencies

  • Publishing the deficiencies to the concerned colleges for their view / print

  • Generating the customized reports as needed by the University based on the IC data

  • Management of IC Convener Interface

  • Login to IC Convener Interface

  • Printing College details for IC

  • Updating IC Findings / deficiencies for the college assigned

  • Submitting the Report online for CDC Office

  • Disabling access to convener after the report submitted

  1. University Management Admin

  • Design and Development of University Admin Interface for Affiliated Colleges Management as per the CDC requirement.

  • Management of College Affiliation Applications

  • Fee Details

  • Courses offered by the University for Affiliated Colleges

  • Bulletin Board / Circulars and Complaints

  • Management of Suggestions/Complaints Received from Parents, Students, Faculty etc.

  • Reporting Module (Customized Reports needs to be generated based the data submitted by the Affiliated colleges)

  • Intake Report

  • Colleges Staff Report:

  • User Management for granular control of the application as needed

  • IC Deficiency Report Management
The Service Provider is required to provide the following information while submitting the quotation:
  1. Programme Development Charges.
  2. Time frame requirement for the development of the application as per the University.
  3. Prior Experience of similar application Development with any of the Universities (Preference will be given the service providers who has done the similar kind of applications and running successfully).
  4. Web Portal Hosting requirements to support the colleges as needed in a secured channel.
Apart from the above modules, the following general features have to be embedded in the software.
  1. The Software should be highly secured
  2. Summary of the parameters shall be available as dashboard features.
  3. The printing features shall be flexible to all the users of the application and it should support major browsers which are in use.
  4. Facility to track / use the application on smart phone as needed for the University.

  1. The Sealed quotation should invariably be super scribed as “Quotation for Online affiliation process against enquiry No. YVU/CDC/OA/CQ/2017-18 Dated: 06th April,2017” and send to The Registrar, Yogi Vemana University,Vemanapuram,Kadapa-516003.
  2. The Quotations which are not sealed and super scribed as above will be rejected.
