CLASS TITLE: CAREER SERVICES SPECIALIST – CONTINUING EDUCATION

BASIC FUNCTION:

Under the direction of the Adult Education Block Grant (AEBG) Supervisor, supervise, coordinate, organize and participate in a wide variety of specialized program and office duties; interface with current and prospective students, faculty employers, and department leads and chairs; serve as primary contact for employers seeking to post positions and recruit on any district site; provide information to the college and public concerning noncredit Career Services programs and services and the state and federal regulations that govern them. The person in this position must determine and interpret the needs of each individual student, troubleshoot, research, and swiftly decide the best solution for the situation and provide direction to the appropriate resources. The incumbent must work collaboratively with other noncredit coordinators to assist with meeting grant performance objectives related to employment and career planning.

REPRESENTATIVE DUTIES:

1.  Advise students with respect to career ladders based on their professional history. Assess student needs, troubleshoot, research, and provide direction for appropriate services and resources or directly provide the resources. (E)

2.  Externally from MiraCosta, interface with and disseminate information to employers and work collaboratively with local one stop career centers. Coordinate efforts with local employers to schedule college-wide events, such as the Career & Technical Education Fair, Discipline Fairs, guest speakers, and employer recruitment at any district site. Coordinate and schedule individual recruitment appointments with representatives from area businesses and industry. Stay abreast of new trends and innovations in the area of employer recruitment and employment. (E)

3.  Internally at MiraCosta, interface with and disseminate information to department leads and chairs, faculty teaching within and outside the department, and current and prospective students. Develop and distribute a calendar of activities to be updated monthly on the noncredit departments’ webpages and social media sites, campus-wide plasma/digital display screens, Chariot student newspaper, bulletin boards, campus kiosks, etc. Develop and distribute printed outreach material. (E)

4.  Develop and revise membership of advisory committees. Plan for and conduct advisory committee meetings. Work with faculty to implement advisory committee recommendations and workforce training needs. Provide industry contacts and liaison with employers (workforce skills).

5.  Accept and disseminate job postings from local employers. Provide job referrals/matches. Procure educational training sites, placement and supervision of students, contract maintenance, and evaluation of sites.

6.  Maintain efficient office functions such as ordering office supplies, prepare and process purchase requisitions; compose and/or type correspondence; review reports and maintain records of expenditures; assist in preparing budget reports; review and proof documents for accuracy, completeness and conformance to applicable rules and regulations. 7.  Organize and schedule activities and services designed to increase the number of students who make informed, intentional career decisions. Support planning and logistics for events hosted by the department or program. Responsibilities include (but are not limited to) collaborating with faculty to develop and customize event for the discipline; making room reservations; working with vendors; requesting facilities set up; preparing personnel requisitions; ordering invitations and food. 8.  Manage and monitor use of the career services computer terminals; provide technical assistance to all walk-in students, including orienting them to the databases and resources for internship and employment search, career development software programs, video tutorials, the resource library of career-related materials, and the noncredit career services web pages and social media sites. (E)

9.  Facilitate student, faculty, staff, and employer use of employment-related electronic database information, such as CareerPoint, and other relevant web pages. Performs basic troubleshooting of software and hardware for the department and computer terminals. (E)

10.  Prepare material for, co-facilitate, or facilitate workshops on career-related topics and represent the department at outreach functions, including orientations, advisory committees, and presentations to high school students, parents and others seeking information.

11.  Gather data for internal and external reports, reflecting services provided, number of students served, and amount of contact with employers and community members. Record student contact information for MIS reporting and assist with statistics for required reports and the annual Program Review cycle.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF:

Organization, policies and rules of assigned department or program.

Modern office practices, procedures and equipment. Advanced techniques and operation of personal computer.

Oral and written communication skills. Correct English usage, grammar, spelling, punctuation and vocabulary.

Applicable sections of State Education Code and other applicable laws and regulations.

Recordkeeping techniques.

Technical aspects of field of specialty.

ABILITY TO:

Perform a wide variety of complex clerical, typing, stenographic and secretarial duties with speed and accuracy.

Learn and apply District, state and/or federal government policies, rules and regulations to assigned activities.

Operate a variety of office equipment including PC, typewriter, photocopier, fax machine, microfiche reader; use a variety of computer software (including Microsoft Office suite of products).

Type at 60 net words per minute from clear copy.

Analyze situations accurately and adopt an effective course of action.

Make arithmetic calculations quickly and accurately.

Understand and follow oral and written directions.

Establish and maintain cooperative and effective working relationships with others.

Multi-task in a high traffic office. Plan and organize work independently. Meet schedules and timelines.

Hire, supervise, train, evaluate and provide work direction and guidance to student workers, temporary staff and others as assigned.

Maintain records and prepare reports.

Work confidentially with discretion.

Communicate effectively both orally and in writing.

EDUCATION AND EXPERIENCE:

Associate’s degree and one year closely related work experience, including coordination experience. Must have advanced computer application skills.

LICENSES AND OTHER REQUIREMENTS:

Positions in this classification may require a valid California driver license.

WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:

Not assigned permanent staff to supervise. Provides work direction to student workers and/or temporary staff.

CONTACTS:

Department coworkers, District staff, students, faculty, vendors, professional staff at other two- and four-year institutions and the general public.

PHYSICAL EFFORT:

Primarily sedentary with intermittent standing, walking, bending and stooping, occasional light lifting and carrying of objects weighting 25 pounds or less; light to moderate repetitive use of hands, wrists and forearms while working on a computer; ability to travel to a variety of locations on and off campus occasionally, as-needed to conduct district business.

EMOTIONAL EFFORT:

Ability to develop and maintain effective working relationships involving interactions and communications personally, by phone and in writing with a variety of individuals and/or groups of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on detailed tasks for extended periods of time and/or intermittently while attending to other responsibilities; ability to work effectively under pressure on multiple tasks concurrently while meeting established deadlines and changing priorities.

WORKING CONDITIONS:

Primarily busy, indoor office environment; frequent to constant contact with and interruptions by individuals in person or by phone; intermittent exposure to impatient, angry and/or verbally aggressive individuals; may be required to work during day and/or evening hours occasional weekends and/or holidays on an as-needed basis.
