Job Profile:

To be responsible for the reception area of the laboratory and provide clerical assistance to the laboratory staff as required.

Key Responsibilities

These include but arenot limited to:

  • Greet and ‘sign in’ all visitors to the laboratory and notify the relevant laboratory personnel.
  • Answer incoming phone calls and emails promptly
  • Take receipt of deliveries
  • Sort and distribute post and faxes in a timely manner.
  • Report faults or issues occurring with the laboratoryto the relevant department and liaise closely with them until the situation has been rectified.
  • Update departmental telephone and fire listsas required and ensure they are available on the quality management system.
  • Provide refreshments for visitors and meetings when required.
  • Ensure the reception area, including foyer, are kept clean, safe and tidy at all times and Anthony Nolan literature is displayed in reception.
  • Update all reception notice boards ensuring figures are kept up to date.
  • Recording reports generated by the laboratory to accurately calculate key performance indicators.
  • Filing of patient recordsin a timely manner.
  • Responsible for the archiving of laboratory data.
  • To maintain a high level of confidentiality
  • Update the human resources database with annual leave and sickness records of staff.
  • To be responsible for the meeting room including liaising with participants, and room and equipmentset up
  • To organise meetings and take minutes when required, ensuring minutes are distributed in a timely fashion.
  • Managing and ordering stationery, admin and kitchen supplies for the Laboratory from the facilities department.
  • Write and review administration standard operating procedures
  • To adhere to all local health and safety policies
  • Assist Laboratory staff with administration tasks as required
  • To undertake any reasonable duty required by laboratory management.
  • To participate in staff annual joint review.
