ADMINISTRATIVE ASSISTANT

General Summary

Working under the supervision of the General Manager, the Administrative Assistant will perform a variety of general administrative services. The incumbent will be required to both take direction and work intuitively to support the completion of the department’s goals and objectives in a professionally appropriate manner. The ideal candidate for this position is resourceful, a good problem solver and organized; assuring a steady completion of workload in a timely manner is key to success in this position. Successful candidate will have a strong commitment to ethics and integrity.

Primary Responsibilities

·  Responsibilities include the full range of standard administrative duties to include meeting coordination, document preparation, escorting visitors, sorting mail

·  Distribute reports, data, and forms to the organization as needed

·  Act as the point of contact between the executives and internal/external clients

·  Will be responsible for maintaining complex schedules/calendars for senior managers with precision, scheduling conference rooms as needed, sending meeting notices using MS Outlook

·  Coordinate and book domestic and international travel; to include hotel accommodations, transportation bookings and other required meeting needs

·  Process expense reports

·  Produce and update reports and presentations

·  Answers email, phone calls, and inquiries, routing to the appropriate person(s) if necessary

·  Uses various PC software packages such as PowerPoint, Excel, Word, to produce high quality presentations or other documents

·  Coordinates and organizes conferences including meeting venue bookings, catering requirements, room requirements, and tends to other requirements of conferences

·  Coordinates and completes significant special projects independently or in cooperation with other groups as directed by the General Manager, or designate

·  Order various supplies as required

·  Other duties as assigned


Basic Qualifications

·  Minimum High School Diploma; additional degree or qualification as an administrative assistant would be considered an advantage

·  Minimum five (5) years administrative assistant experience supporting senior executives

·  Excellent knowledge of MS Office (Word, Excel, PowerPoint, and Outlook)

·  Exemplary planning and time management skills

·  Ability to multitask, prioritize daily workload

·  High level of proficiency in both verbal and written communication skills

·  Demonstrated use of standard office administrative practices and procedures, including standard office equipment

Preferred Qualifications

·  Bachelor’s Degree from an accredited University;

·  10 years’ experience as an administrative assistant;

·  3 – 5 years of experience working in a manufacturing environment

·  Ability to multi-task and prioritize in a fast-paced environment

·  Ability to speak effectively before groups of management and employees.

·  Highly organized and detail oriented; with excellent time management skills

·  Ability to maintain the confidentiality of sensitive information
