Please check ALL facilities being requested for use and circle the application fees.
Security Deposit: All facilities require at $100.00 deposit fee unless otherwise noted. The amount is due at the time of reservation and is refundable upon the completion of a favorable inspection. Up to 100% of the security deposit may be retained for damage if deemed necessary by management. In addition, the applicant shall be responsible for payment of excessive cleaning/damage charges in excess of the security deposit.

I/We further understand that all requestsare subjectto staff approval and are processed on a first come first served basis. Upon review, a designated staff member will notifyme or one of my contacts regarding the status of this request and whether or not there is any additional informationrequired, or if any rental fees and/or deposits still remain to be paid. I/We also acknowledge that I/We have received a copy, read, understand and fully agree to all of the items and terms outlined in the Facility Rental Agreement, including how toproceed in the event of any emergency needing immediate attention during the event. Agreement Acknowledgement

The Applicant, , hereby acknowledges and agrees to the following:

  • All rental fees which include taxes must be included with this agreement.
  • Submittal of the agreement does not confirm reservation dates.
  • Reservation requests are subject to staff approval and are processed on a first come, first served basis.
  • Applicant has been provided with a copy of the Palmetto Historical Park Facility Rental Rules and Regulations and agrees to abide by same.

Applicant hereby affirms that the information contained in this agreement is true and correct, acknowledges receipt of a copy of the agreement, and agrees to all of the terms and conditions as outlined in the Facility Rental Agreement, including how to proceed in the event of an emergency during the event.

In the case of an emergency contact the Palmetto Police Department at 941-723-4587.

The applicant hereby agrees to indemnify and hold harmless the Palmetto Historical Commission, Inc. and the City of Palmetto (“City”), its agents and employees from any and all liability, defense costs, including other fees, loss or damage the City of Palmetto may suffer as a result of claims, demands, costs, or judgments against it arising from applicant’s activities listed in this City Facility Agreement.

The undersigned applicant certifies that he or she accepts responsibility on behalf of his/her organization / group and its guests for any damage or theft sustained by the City (premises, landscaping, equipment, furniture) because of occupancy of the City Facility by the organization. I have read and agree to comply with the rules and regulations stated in or incorporated into this rental agreement. The cost of any excessive cleaning or damage to the City Facility, equipment or grounds due to the scheduled activity or event will be deducted from the security deposit provided for herein. In the event that such costs exceed the amount of the security deposit, the undersigned agrees to be personally responsible for the payment to the City of any overages.

Palmetto Historical Park Additional Rental Information

Palmetto Historical Park Grounds & Restroom Facilities security deposit $100.00, Rental Fee for the first Three Hours is $150.00, and an each additional hour is $50.00, No Maximum occupant load for grounds.

Carnegie Library Basement / Auditorium Floor & PHP Grounds, security deposit $100.00, Rental Fee for the first Three Hours is $225.00, and an each additional hour is $75.00, Maximum occupant load 70 people in basement. No Maximum occupant load for grounds.

Due to the many events that we have at the park, please make sure that your special event is at least 2 to 4 months out so we can check our calendar to see if your special day is available. Also we will need the deposit fee amount to hold the date for you.

Facility Rental Agreement

RENTAL RULES AND REGULATION

  1. Applications and fees for the use of the Palmetto Historical Park must be submitted no less than sixty (60) days prior to scheduled events. Applications may be obtained by email or from the Palmetto Historical Park Staff at, 515 10th Avenue West, Palmetto, Florida, 34221, or by phone at (941) 723-4991. Applications will be confirmed in writing and approved in the order received. In the event of a requested date change, prior applications for that date will be given precedence.
  2. The deposit fee shall be received by the Palmetto Historical Park representative upon signing of this rental agreement. The full rental fee shall be received 30 days prior the event. The deposit fee shall be fully refunded 30 days after the event, when the property has been inspected and found to be in compliance with the rules and regulations. Should the property be damaged or not in satisfactory condition any or all of the deposit shall be forfeited as seen fit by the Palmetto Historical Park representative.
  3. Should an event be cancelled, the person who made the reservation must notify a Palmetto Historical Park representative by telephone or by e-mail () no less than thirty (30) days in advance. Fees will be refunded by check from the Palmetto Historical Commission, Inc. Check will be payable only to the person from whom it was received. If the event is cancelled less than thirty (30) days of the event date, a penalty of 25% will be taken from the deposit fee to cover administrative charges.
  4. A fee of $60.00 per hour is charged for use of the Heritage Chapel. There is also a $100.00 deposit due for use of the Chapel. (See Rules and Regulation #2). There is also a $100.00 deposit for use of the “Ree Hunt” Auditorium (Basement). The fee for use of the auditorium is $165.00 for the first 3 hours and $55.00/hour for each additional hour.
  5. The building capacity for the Heritage Chapel is 30 people. It is 70 people for the “Ree Hunt” Auditorium in the Carnegie Library (Basement).
  6. See the Rental Agreement for all Park Grounds Rentals.
  7. The circle in the center of the park is a fire lane. It is to be used only to load and unload. Please park in the parking spaces along 10th Avenue West, in front of the Carnegie Library. Or in the back of the Park.
  8. ALCOHOLIC BEVERAGES AND SMOKING ARE NOT PERMITTED IN THE PARK OR BUILDINGS.
  9. Candles and/or open fire are not permitted in any of the buildings, per Palmetto Fire Department.
  10. Applicants are responsible for supplying equipment such as decorations, runners, sound systems, etc. They are also responsible for the proper removal of such objects right after the event. The Commission will not be responsible for equipment or personal items left in the park.
  11. The Heritage Chapel and “Ree Hunt” Auditorium are available for weddings, memorial services, baptisms, reunions, civic functions, etc. The stage is not part of the Auditorium rental and is prohibited in anyway. Events may be performed by inter-denominations or duly authorized persons. Food, beverages, and smoking are prohibited in the Chapel.
  12. All pets except seeing-eye & service dogs are also PROHIBITED in the park.
  13. Furniture and equipment, such as the display cases, piano, organ, hallway & kitchen table, pulpit, and pews are not to be moved, only by staff members.
  14. Any holiday or special event decorations in the buildings cannot be removed. If flowers, potted trees, etc. are brought into the buildings, paper or plastic must be placed under them to protect the tables, furnishings, and floors. No tents, canopies, etc. are allowed in the park or on the grounds per the city of Palmetto.
  15. The circle and courtyard is acceptable for the throwing of natural flower petals or bubbles. If artificial flower petals are to be used, please sweep up immediately following the ceremony. No glitter is allowed in any buildings or on the grounds of the park. If glitter is found in any area of the park or buildings your deposit fee shall be forfeited as seen fit by the Palmetto Historical Park representative.
  16. Bring your own garbage bags for cleaning up.
  17. A Palmetto Historical Park representative will be on hand to open and close the buildings.
  18. All weekend rental dates must be cleaned up & completed by 8:30pm.

I acknowledge that I have read the above Rules and Regulations and agree that my guests and I will follow them while holding our special event in the Palmetto Historical Park. I am also aware that should my guests or I not follow any of the above Rules and Regulations, that any or all of the deposit will be forfeited as seen fit by the Palmetto Historical Park representative.
