Admin & Exams Officer

JOB PURPOSE

To process all aspects of examinations.

To provide administration duties for the school

PRINCIPAL RESPONSIBILITIES

1 / Provide administration for all aspects of work related to examinations for the school
2 / Liaison with subject leaders and direction of planning and efficient management of exam system
3 / Manage Special Arrangements applications and File (Access Arrangements) liaison with SENCO
4 / Ensure security of exam papers and confidentiality
5 / Liaison with external bodies relating to examinations.eg. JCQ, AQA, Edexcel, OCR
Meet with the JCQ Inspector to ensure the school is complying with the regulations and that the relevant policies are available to view.
6 / Maintain staff files ensuring copies of exam certificates, references, details of training courses are placed in the files. Process enhanced DBS checks for new members of staff, updating the single central record and ensuring DBS checks are up to date for existing members of staff.
7 / Preparationand maintenance of student files. Issue letters to parents relating to exclusions, INSET dates etc.
8 / To administrate the information (SIMS) system in order to ensure that comprehensive date relating to admissions, leavers, attendance and assessment is available
9 / To procure goods and services following the school and LA’s procurement guidelines ensuring ‘Best Value’ is achieved and receive invoices from suppliers, check they are correct and pass for payment to the Local Authority.

10. To assist with the financial administration of the school; administer the imprest account, bank school dinner money and fines, review credit card transactions using the DCal system ensuring receipts are matched to transactions.

11. Report any building maintenance issues to the relevant contractor to ensure the health and safety of the staff and pupils

Notwithstanding the detail in this job description, in accordance with the Council's Flexibility Policy the job holder will undertake such work as may be determined by the Director/Corporate Manager from time to time, up to or at a level consistent with the Principal Responsibilities of the job and in any location within the Cheshire West and Chester County.
