PUBLIC RELATIONS & COMMUNICATIONS INTERN

INTERNSHIP DESCRIPTION

POSITION: Public Relations & Communications Intern

FLSA STATUS: Non-paid; School Credit + Scholarship at completion of internship

REPORTS TO: PR & Communications Specialist

OFFICE REQUIREMENTS: Monday-Friday (some weekends during events)

9:00am - 2:30pm

HOURS: Minimum 25 hours per week

DESCRIPTION SUMMARY: This position will serve as a principal assistant to the communications department staff; providing administrative assistance along with communication coordination for various programs and events. This position requires the ability to work closely with the supervisor and other employees in a team effort for the advancement of Indiana Black Expo.

COMPENSATION: Internship is a non-paid position. Individuals will be responsible for all expenses including travel, parking and any accommodations. Please provide the necessary information if internship will be used for college credit. Rising college juniors, seniors or graduate level students preferred.

INTERNS WILL BE PERFORMING THE FOLLOWING TASKS:

·  Write press releases, fact sheets, program copy and other materials as assigned

·  Assist in the creation of signage, flyers, programs, events guides and other marketing collateral, etc.

·  Assist in the distribution or delivery of marketing materials, mailings, print production, etc.

·  Contribute to the conception and development of all imaging, branding and messaging pertaining to Indiana Black Expo, it's mission, program and activities

·  Assist communications department staff with planning, coordination and implementation of radio and television communications, marketing and promotional events and onsite logistics

·  Assist with the preparation of communications-related facilities and logistics at the Convention Center during Summer Celebration

·  Coordinate and assist with the staging of press events and media conferences

·  Assist with overseeing media credentials and press accommodations during Summer Celebration

·  Assist in overseeing street team and other grassroots promotional activities

·  Prepare presentations

·  Provide support to social media efforts

·  Maintain tracking report of public relations activity and maintain database of press clippings/links

·  Monitor all forms of media

·  Schedule and coordinate speaking engagements, appearances, photo shoots, and other special events

·  Screen phone calls

·  Create interview preparation materials

·  Compile and maintain press contact lists

·  Other duties as assigned

SKILLS AND ATTRIBUTES INTERN IS EXPECTED TO HAVE:

·  Majors preferred: Marketing, Communications, Radio-TV, Journalism, Public Relations

·  Excellent written and verbal communication, strong editing skills

·  Strong organizational skills

·  Excellent written and verbal skills

·  Strong interpersonal skills with the ability to interact with diverse groups

·  Possess a high degree of accuracy and attention to detail

·  Ability to work as a team

·  Possess the ability to work independently

·  Works well under pressure

·  Demonstrates proficiency with electronic media and web site development

·  Experience operating general office equipment

·  Availability to work long hours during scheduled events

·  Ability to meet deadlines, multi-task and think and write creatively

·  Must be proficient in Microsoft Word, Excel, PowerPoint and Access

·  Internal: Daily contact with staff at all levels, media, constituents, sponsors, the general public, and chapter representatives, etc.

·  External: Periodic contact with Board of Directors, constituents, sponsors, media, chapter representatives, the general public, etc.

WORKING CONDITIONS

·  Normal office environment with little exposure to excessive noise, dust, temperature, etc.

·  Regular exposure to video display terminals, on and off site event participation, and periodic travel

ADA REQUIREMENTS

·  Communicate: Required for heavy communications by telephone, face-to--face, public presentations

·  Dexterity: Required for heavy keyboard use and heavy paper handling

·  Detect: Required to review detailed proposals/forms/contracts, travel, view computer monitor, and make individual and/or public presentations

·  Stationary position: Required for the ability to remain in the stationary position for 50 percent of the time

·  Transport: Required to lift boxes, equipment, and other weighing up to 20 pounds from the floor and carry and load into vehicles or storage

·  Traverse: Required to ascend/descend stairs
