3-2-12 Secretariat Meeting OCTD

Final Rector/Rectora Comments/Needs.
There was a brief discussion of the Saturday weekends’ schedule change. The change involves having the Leaders rollo on Saturday before dinner. This change will be put in effect on a trial basis only for OCTD #19 and #20. The Saturday weekend change will be on the June ballot to be voted on by the eligible voting membership of the Community.
The names of the Rector and Rectora for OCTD #21 and #22 were announced to the Secretariat. They will be made public at the Fiesta on March 24. As an aside reminder, these two leaders are not to begin asking for volunteers in an effort of building their teams until following the Fiesta. The focus of the Teams and the Community is to be on OCTD #19 and #20 until the end of Fiesta.
There was a discussion of the Selection Process for Rector and Rectora. A motion was made, seconded, and carried that the following process is to be used commencing with the Rector and Rectora selection for OCTD #23 and #24. The process involves nominations of 3 men and 3 women by Community members attending the Secretariat meeting two months before the announcement of the final selections. A private ballot will be taken of the members at that Secretariat meeting; indicating 1 for the first choice, 2 for the second choice, and 3 for the third choice for both the men and the women. The ballots will be tallied with the lowest vote indicating the first choice, the next lowest vote as the second choice, and the last lowest vote as the third choice. The first choice will be contacted by the Secretariat regarding willingness to serve. If the first choice declines, the second choice is contacted, and so on.
There was a brief discussion of Serenade. There will be Serenade by the women for OCTD #19. There were not enough men committed to participatein Serenade for OCTD #20.
The oven at the Grand Avenue facility is partially operational for the March Weekends. Mike Shellman will discuss alternatives with the Trustees of Grand Avenue and the combined Methodist group of merging churches.
Fiesta for OCTD #19 and #20 will be held at Red Hill Lutheran Church on Saturday, March 24 at 6PM.
There was a brief discussion about responsibilities for Sponsor’s Hour on Thursday of each Weekend. The Women’s Core Team is responsible during the Men’s Weekend. The Men’s Core Team is responsible during the Women’s Weekend.
Tentative dates for OCTD #21 and #22 are October 11-14 and 18-21 with Fiesta on October 27. The locations will be determined at an upcoming meeting.
Future Secuela dates are as follows: April 21, May 19, June 16 (Picnic), July 21, and November 17.
The next Secretariat meeting is to be 7 PM on Friday, April 6, 2012 in the Library at Red Hill Lutheran Church.
