INTRODUCTION
This document is to be used in conjunction with other documents which are designed to assist the indexer decide how to complete each index entry.
It presents the standards and guidelines for completing the index in a technical sense such as specifying fields and their typical entries.
*The file entitled PRIMER.DOC (or PRIMER.TXT) is an overview designed to provide new indexers with an overview of the project undertaken by the Indexing Group. This document also specifies which fields are mandatory or optional as well as those that should be completed if possible.
*Also, the file entitled ATSFNAME.DOC (or ATSFNAME.TXT) is designed to specify the preferred nomenclatures to be used within the indexes. The need for strict conformity in how we describe a subject will reduce if not eliminate confusion when searching a database.
*In a similar vein, we have produced a list of Santa Fe diesels and motor cars from the time of their acquisition until their scrapping. This file (ATSFDSL.XLS) also provides the preferred model descriptions. For those users who do not use MS Excel, there are individual tab delimited text files:

CLASSIFICATION OF CATEGORIES
This table defines the various categories and demonstrates the typical detail within each subsequent sub-level (if applicable).
EXPLANATION OF COLUMN CONTENTS:
Category Description is not a field but just a plain English explanation of the adjacent CAT CODE abbreviation.
CAT CODE (Category Code)- Mandatory: The code used by the indexer to categorise the various categories. As each category will have its own database, the category code allows the user to identify them should they all be merged into a universal database. Indexers are free to devise their own category code abbreviations during their compilation, but upon completion these must be changed back to the standard category codes.
TYPE - Mandatory: Within each category, there are varying types that are specific to it. There need not be any logical correlation across the various categories. The examples shown are typical TYPE entries used within each category (ie. CAT CODE).
SUB-TYPE - Mandatory: This is the specific sub-type descriptor used within the category and type. Once again no logical correlation necessarily exists across the categories and types, but are specific for the SUB-TYPE. The examples shown are typically what you would expect to find within that Category/Type grouping.
ID: A number usually identifies a subject at its most unique level, and it may also include an assigned name (eg. CK Holliday). Alternately, some subjects do not have a numeric identifier, as they are identified by an assigned name (eg.a location or a passenger car).
There are three fields associated with a subject’s unique identity. The Number (No.) Identifier, its (No.) Qualifier (if any) and/or a Name Identifier (if applicable). For simplicity sake, in the following chart we have shown the ID to be any or all of these three elements combined. However, when it comes to indexing the subject’s ID, these fields are to be completed only as required.

IMAGE TYPES
DIAGRAM: A technical diagram similar to a drawing, but lacking any dimensional and/or scale references.
DRAWING: A technical drawing complete with dimensional and with/without a scale.
FLOOR PLAN: A birds eye view of a subject, with/without dimensional or scale references.
ILLUSTRATION: Basically applies to an artistic rendering of a subject as opposed to a technical drawing or diagram.
MAP: A geographic drawing of an area similar to that found in an atlas. It does not necessarily have to have latitude or longitude references, nor even a scale indicating distances. It can be a simple diagram showing stations dotted on a line or an artistic 3D illustration-come-map showing mountains and valleys surrounding the railway line.
TABLE: A chart or table usually portraying data.
