Tips on completing the application form

1. Make it easy for us! When we read your application we are looking for evidence that you have the skills and experience listed in the person specification. We read your application carefully but it makes it much easier for us if you set out your evidence as clearly as you can in the supporting statement section of the application form. You can do this by taking each element of the person specification and providing a few sentences under each to explain how you meet that particular requirement.

2. Spell it out. If you say for example that you have been a training co-ordinator we cannot assume you have the skills to deliver training. You might have booked people onto the course. You need to say that you have delivered particular training courses to whom and in what circumstances.

3. Give evidence rather than assertions. A statement “I am a great communicator” is not evidence. The following statement is better: “When I was working at [job] I had to explain [subject] clearly and simply to clients. Client feedback showed that they understood what I told them and valued my style”. That way we can see more clearly what you think good communication is and how you know you are a good communicator.

Job Description

Post Title: Project Administrator

Post Salary: AP2 pt 19 - £19,095 (pro rata 21 hrs £11,216)

Responsible to: Training Project Manager

Purpose of Post:

Assist the Training Project Manager to deliver the Independent Living and Work Choice Project, funded by the Big Lottery’s Investing in Communities Programme.

The Project Administrator will be the key administrative and organisational resource within the project.

Post Objective:

To provide administrative and clerical support to all service areas of the Independent Living and Work Choices Project.

This varied role requires excellent multi-tasking skills with a strong attention to detail.

Main Tasks and Duties

u  Provide support in all aspects of project administration

u  assist with organisation of courses, publicity and delivery

u  manage general telephone/email enquiries

u  handle invoices and record project expenditure

u  collate project statistics

u  support the volunteer recruitment process, as required

u  convert information into formats suitable and accessible to disabled people, ie braille, large print, audio tape, computer disc

u  recording enquiries/ referrals on database

u  assisting with management of Project’s waiting list

u  photocopying

u  assist with preparation for courses/meetings –

ü  Organising room bookings and equipment for courses

ü  Organising transport for disabled people attending courses/meetings

ü  preparation of course materials

ü  arranging catering

ü  setting up and clearing room

ü  setting up required equipment

ü  greeting visitors and helping them settle into meeting room

ü  taking notes

u  undertake other appropriate duties from time to time as determined by the Training Manager

Decisions Made in the Course of the Job

u  Safeguarding the confidentiality of information

u  Determining daily work pattern/priorities in consultation with the Training Manager

Supervision and Support Received

The post holder will receive regular supervision from the Training Manager in accordance with the Terms and Conditions of service. The post holder will be expected to attend staff meetings, training courses, LCiL events or other meetings deemed appropriate to the function of the Project.

Contacts

The Administrator will come into contact with a wide variety of people. This will either be via enquiries over the telephone, or by receiving people who come into the LCiL's offices. S/he will be expected to develop a general knowledge about LCIL's services / philosophy, and be able to communicate effectively and sensitively.

Complexity and Creativity

The Lothian Centre for Inclusive Living is an innovative and demanding initiative which has had a significant impact on the lives of disabled people, their families and the statutory authorities in the Lothian area.

The provision of support which enables disabled people to increase their level of self control in all aspects of their lives is highly complex. It requires sensitivity, an extensive knowledge of services which are available to disabled people and a wide knowledge of the concerns of disabled people.

She/he would be required to take initiative on a wide range of tasks and work as part of a team to ensure that an inclusive approach is maintained.

It is essential that the post holder is able to work within an organisation which is led and managed by disabled people.
