A guide to participate in the exhibition and conference was developed to simplify the process of preparation for the exhibition and decisions of the relevant administrative matters. All information is presented in such a way that its content has been available for companies who are already working in Russia, as well as for companies that only for the first time are planning to enter this market.
The manual consists of General information about the exhibition and blank application forms for the exhibition services. Careful examination of the contents of this guide will allow you to solve all the issues of organization during the exhibition. Please keep the copies of the filled in forms (stamped and signed) while registration and working at the exposition.

In case of increase of the time of mounting or dismantling of the exposition at the request of the participant of the exhibition – the company should fill in the application form #16.
2. TERMS OF PARTICIPATION
Company or organization that wants to participate in the exhibition, send to the organizers filled in Participation application (FORM #1), signed by the head of the organization and the chief accountant, appropriately stamped; orders for additional services, information for the official catalogue.
In case of ordering non-equipped exhibition space and self-sustaining construction of exhibition booth the exhibitor or the external company-builder shall negotiate all specifications of the exhibition booth, namely: booth plan (design project) with the provision of power connections plan and indication of the required power rate. The exhibitor also undertakes to pass the examination of the project and construction documents.

For organization of the project and construction documents examination, as well as carrying out the safe mounting/dismantling operations and control of the specifications of the used materials and structures the exhibitor or the external company-builder shall be charged the fee at the rate of3 EUROper 1 sq. m. of the provided exhibition space (excluding VAT).
All the necessary information is published at the EF-Design web-site
Applications sent by Fax or e-mail, shall be recognized as equal legal force instances of the documents with the original signature and stamp.
The organizers reserve the right to change prices for participation in the exhibition in its sole discretion. The layout of the premises of the participant in the pavilion is provisional. The organizers reserve the right to change the location of the participants in the pavilion depending on the technical appropriate in its sole discretion. The cost of participation does not depend on the change of the location of the stand.
Participant can start dismantling of the exposition and complete the work at the exhibition only after its closure. The participant is entitled not to transfer rights and obligations under this contract to third parties/
The organizers on the basis of the applications received, send the exhibitor an invoice. The payment can be divided into parts: the first part should cover the registration fee and the 30% of the booth construction price. The final payment must be executed no later than 13/01/2014.
3. PARTICIPATION FEE(ALL PRICES include VAT, 18%)
Obligatory Registration fee – 118 EURO includes:
-accreditation for representatives (participant badges)
-catalogue entry in both Russian and English (no more than 500 signs for each language),
-1 copy of the catalogue.
-5 invitations for visitors.
-Accreditation for all exhibition events.

The cost depends on the date of payment of participation in the exhibition:

Exhibitors take part in the exhibition according to the rented areas; otherwise the Organizer has the right to demand additional payment on the illegally occupied area.

Charges for distant participation – 500 EUR
Includes:
- Publishing of the company’s information in the exhibition official catalogue
- Accreditation for promo-personnel
- 1 official catalogue
4. CATALOGUE | Form 11
Information for the official catalogue must be sent not later than January 13, 2014.
Information for publication in the official catalogue must be submitted both as electronic file and scanned copy with stamp in both English and Russian languages.
The size of the text is to be not more than 500 signs (for each language), including punctuation marks. Please, use FORM 11, and send it to the organizer beforehand. This form is one of the obligatory forms.
Notes:
Information, exceeding 500 printed character, is considered as an advertisement and is paid according to the exhibition advertisement rates.
Advertisement positioning in the exhibition catalogue and guidebook is paid extra.
In case of registration fee payment absence, all information is excluded from the official catalogue.
5. PROMOTERS | Form 14
Distribution of advertising materials by the representatives of the company (promoters) (beyond the bound of the exhibition booth is permitted only in case of their accreditation.
The work of the distributors of advertising materials outside the Exhibitor's stand shall not inhibit the movement of the visitors of the exhibition and obstruct the work of the other Participants. The organizers reserve the right to immediately removed from the exhibition site of promoters not received accreditation.
6. PAYMENT
Payment of the participation fee must be executed within three Bank days from the moment of invoice receipt.
The payment is confirmed by a copy of the payment order marked by the Bank for payment of the full amount of ordered services and VAT (18%). In the payment order it is necessary to specify «Payment for participation in the exhibition «Holiday Solutions: Wedding - 2014».
In case of non-fulfillment of the established terms of payment the Organizers reserve the right to change the location of the booth within the pavilion or move it to another pavilion with notification of the company, as well as to refuse to grant the participant services specified in its Application.
ATTENTION! Without pre-payment (100%) on the account of the Exhibitor for the mounting and the exhibition is not allowed construction of stands is not made.
4. PARTICIPATION REFUSAL / ORDER REDUCTION
In case of participation refusal officially addressed to the exhibition management after January 15, 2014, the Participant carries penalties in the amount of 100% of the participation cost.
In case of reduction of the Participant of the area of the stand, the organizer reserves the right to change the location of the booth within the pavilion or move it to another pavilion with notification of the Party.
The exhibition space paid and not occupied by the participant in 12 hours before opening of the exhibition, are considered as free. The organizers shall have the right to dispose of them at its discretion. In this case, means the participant are not returned.
5. THE RULES OF WORK AT THE EXHIBITION
Stand decoration, and actions of the Participant must not disturb other Participants.
Participant may start dismantling of the exposition and complete the work at the exhibition only after it is closed at 17:00, February 9, 2014.
The services of stand cleaning are to be organized by the Participant or can be ordered and paid during the exhibition at the Service Bureau. Please, note, that all services, ordered after the exhibition opening are to be paid in cash (all documents and receipts are to be provided by the Service Bureau).
During the opening hours of the exhibition, each Participant is obliged to grant at least onerepresentative, who is to be at the exhibition hall #5 (from 10:00 h till 19:00).
6. MOUNTING/DISMANTLING WORKS | EXHIBITION DESIGN | Form 6
Mounting, dismounting and decorating of standard stands at the exhibition are to be providedby the company «EF-Design», LLC– the General contractor on the territory of the exhibition complex Lenexpo.
Please, fill in the Form 7, if you need to order the layout of artistic design for your exhibition stand.
The height of the stand should not exceed 2.5 meters. Any excess of the height requires the written permission of the exhibition administration and «EF-Design», which is granted under the condition of providing the necessary technical documentation.
It is forbidden to stickadvertisement materials to the walls, floors, columns, windows and doors, as well as on metal structures of the ceiling. For fixing floor coverings the Participant can use the special tape with a glue layer. Used adhesive tapes should not leave any traces on the floor after removal.
7. HANDLING OF GOODS
All transport-forwarding services and execution of connected with these services customs formalities and works on the territory of the Lenexpo Fairgrounds can be carried out only by Pan-BALTService, LLC, which has exclusive right for execution of these operations. The participant or his forwarding agent shall, not later than two months prior to the exhibition to conclude a separate contract with Pan-BALTService, LLC, (p. 4) to perform the above mentioned works.Tel. + 7 (812) 322 60 34
8. SECURITY AND SAFETY
During all period of work of the exhibition Organizers provide the regime of General security of the exhibition, round-the-clock protection of public order on the territory of the exhibition complex, not carrying out the individual guarding of the exhibits and other property of the Participants.
Organizer is not responsible for the safety of exhibits and other material assets belonging to the Exhibitor.
In case of need Exhibitor can order individual guarding of the booth in the day and/or night time, as well as guarding of stands at an open exhibition area in the security service of the exhibition complex «Lenexpo»: MEGAPOLIS 78, LLC, tel.: +7 (812) 321-27-02, 321-26-84.
9. OBSERVANCE OF COPYRIGHT AND RELATED RIGHTS
In the case of public performance of works (the presentation of works, phonograms, performances, productions through playing, recitation, singing or dancing in live performance or with the help of technical means; the showing of the pictures of an audiovisual work) at the exhibition Participant independently conclude agreements and produces all the settlements (payments)related to the use of them, his staff and/or Contracting parties of the objects of copyright and related rights in the period and/or in connection with the operation of this agreement.
In the case of any kind of claims to the Organizers, associated with the use of the Participant or by his third persons on the territory of exhibition complex «Lenexpo» objects of copyright and related rights, the Participant undertakes to the court to compensate the Organizers of all losses related to these claims and claims, including the claim amount.
At non-observance of the Participant of «General terms of participation in exhibitions on the territory of exhibition complex «Lenexpo», he is not allowed to participate.
