THIS MEMORANDUM OF UNDERSTANDING, MADE AND ENTERED INTO THIS (DATE),

IS BY AND BETWEEN

THE OHIOSTATEUNIVERSITY ON BEHALF OF ITS UNIVERSITY RESIDENCES AND DINING SERVICES, AND

THE OHIO STATE UNIVERSITY ALUMNI ASSOCIATION, INC. (OSUAA) BEING REPRESENTED BY THE ALUMNAE SCHOLARSHIP HOUSING SOCIETY (ASHS)

Since 1935 The Alumnae Scholarship Housing (ASH) program and the ASH SOCIETY has had an ongoing cooperative relationship with the University Residences and Dining Services and The Ohio State University. The ASH program is currently housed at 220-222 W. Eleventh, 225 W. Tenth, and 231 W. Tenth.

The ASH SOCIETY consists of persons designated from the OSU Alumni Association, theUniversity Residences and Dining Services and the Office of Financial Aid. In order to facilitate the cooperation intended by this agreement, the ASH SOCIETY meets on a scheduled basis. The ASH SOCIETY members and their responsibilities are as designated in the ASHS Constitution and Bylaws. Copies attached.

Both the University Residences and Dining Services and The ASH SOCIETY support the high academic achievements by enhancing and developing living-learning communities, assignment options, and academic support services.

PURPOSE

The purpose of this Memorandum of Understanding is to preserve the ASH program by guiding, directing, and coordinating efforts by the ASH SOCIETY and the University Residences and Dining Services. Through deliberate and thoughtful efforts, the ASH programs can maximize the educational potential of student participants. These cooperative efforts serve to integrate a student’s out-of-the-classroom experience with intentionally designed opportunities to enhance learning and development.

  • The primary mission of The Ohio State University is the education of exceptional quality and diversity at the undergraduate, graduate and professional levels.
  • The primary mission of the University Residences and Dining Services is to create residential communities that encourage personal development and academic learning with a special attention to human diversity that includes race, religion, culture, sexual identity and physical capability.
  • The primary mission of the ASH SOCIETY is to continue to provide cooperative housing with a

“home-like” atmosphere and increase scholarship opportunities for women of high academic

achievementwith financial need. The ASH SOCIETY’s responsibility is to oversee and protect its

University Endowment Funds/Gifts in order to fulfill its primary mission.

MUTUAL RESPONSIBILITIES

  • The ASH SOCIETY and the University Residences and Dining Serviceswill work together to promote and support a quality experience for the participating students.
  • The ASH SOCIETY and University Residences and Dining Services will review this working relationship at the ASH SOCIETY’s meetings to resolve any problems or develop any improvements in the operation of the program. This relationship is intended solely for the benefit of the students participating in the ASH program.
  • The number of projected students designated for participation in the program will be determined through consultation between the University Residences and Dining Services and the ASH SOCIETY.
  • The ASH SOCIETY and the University Residences and Dining Services will continue to raise friends and funds with advice and guidance from OSUAA and OSU Development when needed.

ASH SOCIETY RESPONSIBILITIES:

  • Agrees to act in the capacity as program and project advisor.
  • Agrees to act as mentors for the undergraduate women residents.
  • Agrees to facilitate financial support for the housing program.
  • Agrees to maintain open and regular communications between University Residences and Dining Services and the OSU Alumni Association.

THE UNIVERSITY RESIDENCES AND DINING SERVICES RESPONSIBILITIES

● Agrees to be responsible for creating and managing sufficiently a remodeling/replacement capital fund for

future facility needs as part of the UniversityHousing Capital Reserve Account.

● Agrees to fund and otherwise financially support and pay for all service resources similar to those

that areprovided to other scholarship residence halls, such as food and safety services.

● Agrees to fund and fully support, by facility revenues, the facility operations, including room and

board, debt service, replacement reserves, and administrative overhead.

● Agrees to maintain the ASH program facilities when necessary following

established scheduled University Residences and Dining Services facility inspections.

● Agrees to report to the ASH SOCIETY, the findings from their regularly scheduled maintenance

program, particularly any significant issues related to capital replacement.

● Agrees to work with ASH SOCIETY to provide assistance and access to University resources, residence

hall management and educational services.

● Agrees to invite the ASH SOCIETY to submit ideas for facility improvements and enhancement.

● Agrees to provide an upper-class live-in paraprofessional staff member to provide orientation and

dailysupport for students living in the facility.

● Agrees to assign a professional staff member to serve as a support for the respective programs.

Residence Life Hall Director, or a designee, agrees to attend the ASH SOCIETY meetings.

● Agrees to coordinate student selection and placement after the Office of Admissions and

Financial Aid has made selections based on student qualification and financial need.

ALUMNI ASSOCIATION RESPONSIBILITIES:

  • Agrees to provide a staff member from the Accounting department to serve as a resource in preparing and executing financial matters for the ASH Housing Program for a set fee. Additional charges can occur if work is needed beyond the listed items below.
  • Prepare the financial summary of the funds on a quarterly basis
  • Match up gifts in the quarter with the financial summery
  • Cut checks to students or vendors
  • Transfer funds as recommended by ASH Society

  • Agrees to provide the ASH Society with services and resources available to all chartered alumni societies of the Ohio State University Alumni Association, Inc.

In Witness whereof, the parties here to have caused their duly authorized officers to set their hands to this agreement as of the date first above written.

The ASH SOCIETY (hereinafter the SOCIETY), University Residences and Dining Services, and The OhioStateUniversity Alumni Association hereby agree to the following:

The parties mutually agree that this agreement is intended to address a specific and unique residential learning community for women. This agreement is intended to clarify the parties’ collective collaborative agreement. This agreement shall not be altered in any way or utilized under any subsequent changes to the administrative University Housing department or assigned Alumni Association personnel. The endowed funding structure, monies, and discretionary distribution of said ASH funds will remain the sole responsibility of the SOCIETY, unless otherwise declared by the SOCIETY. This agreement will be reviewed by the parties involved every 5 years.
