Job Description – Professional Standards Assistant

(Part-time – 2 days/15 hours per week)

Reporting to: Deputy Chief Executive Officer

Location: Winchester

Purpose of the post: The Chartered Institute of Ecology and Environmental Management is the professional membership body for ecologists and environmental managers using their knowledge and skills to benefit nature. This post will aid the Chartered Institute’s work by providing administrative support for our professional standards work.

Key Result Areas:

1. Supporting Professional Standards

i.  Undertake administrative tasks required for the effective and efficient management of the

Complaints and disciplinary process including:

i.  maintaining the record of complaints submitted and their progress through the process;

ii.  maintaining the electronic files of complaints;

iii.  undertaking background research;

iv.  preparing paperwork for assessors (on the Professional Standards Committee and the Disciplinary Standing Committees);

v.  preparing memos and letters;

vi.  ensuring the timely submission and collation of assessments;

vii.  arranging teleconferences;

viii. arranging disciplinary hearings;

ix.  booking travel and accommodation for Disciplinary Board Members;

x.  prepare an annual report on complaints received; and

xi.  taking minutes of meetings and teleconferences.

ii. Provide administrative support to the Best Practice Awards programme.

iii. Provide administrative support to the preparation and review of documents and publications relating to promoting good standards of professional practice.

iv. Support the DCEO in providing a secretariat role to the Professional Standards Committee.

3. Other Duties

i.  Assist the Deputy CEO with any other duties in support of professional standards work.

ii.  Provide cover and for the Administrative Officer when required.

iii.  Comply with all internal procedures and policies including health and safety, financial procedures and performance management

iv.  Undertake any duties of a similar nature as required by CIEEM

Hours of Work: CIEEM operates a 37.5 hour working week (normally Monday to Friday 9.00 a.m to 5.30 p.m.) with a flexi-time system for hours accrued in addition to this. Very occasional travel outside of Winchester may be required. This post is for 15 hours per week with flexibility to meet the requirements of the work likely to be an advantage.

Salary: £8,235 per annum

Pension: The Institute has a Group Stakeholder Pension Scheme which is available to the post holder on successful completion of the probationary period (6 months). The Institute will contribute up to 10% of gross salary to the pension scheme dependent on the level of employee contributions.
