CHARGES
Hire of premises only
- Non-profit making organisations:£7 per hour or part of an hour
- Profit-making organisations:£14 per hour or part of an hour
Hire of premises including use of computers
- Non-profit making organisations: £20* per hour or part of an hour
- Profit-making organisations:£40* per hour or part of an hour
Library staff attendance
- Additional fee of £13* per hour or part of an hour up to 8pm when incurred (weekdays only)
- Additional fee of £15* per hour or part of an hour after 8pm when incurred (weekdays only)
This will apply to any bookings when staff would not normally be present. It may also apply if there is significant extra work such as rearranging the layout of the room. Out-of-hours bookings can only be accepted if staff are available.
Printouts / photocopies
- 10p* per A4 black and white sheet
- 50p* per A4 colour sheet
Refreshments
A fridge,kettle, coffee percolator and crockery are available in the Computer Training Suite. You will be responsible for servinganyrefreshmentsyourselvesand for clearingupafterwards, leaving theareacleanandtidy. Please make sure refreshments are keptaway from any computer equipment.
Equipment
No charge for the use of equipment such as digital projector or interactive whiteboard.

PAYMENT
Please complete the booking form and return it with your payment, making cheques payable to Devon County Council.
You will need to pay any price increase, so long as we give you at least a month’s notice. We review our charges annually, and any increases normally take effect on 1st April.
CONFIRMATION AND CANCELLATION
- Although we will accept provisional bookings by phone, they can only be held for a maximum of four weeks. Your booking is not confirmed until you have paid and returned a signed copy of the booking form.
- We cannot normally accept bookings made more than 1 year in advance.
- If you cancel a booking, we can only refund your money if you give us at least a month’s notice.
- While we will make every effort to not to cancel bookings, we reserve the right to do so. If no suitable alternative arrangements can be made, we will refund what you have paid us, but we will not accept any other liability.
DAMAGE
You will be held responsible for any damage to library property caused by your group during the booked session, and will be required to pay for any necessary repairs or replacements. Please arrange your own insurance if you think it is advisable.
ACCESS & SECURITY
On arrival, please report to Reference Library staff on the first floor. Please do not allow anyone to enter or remain in the suite unless the tutor or hirer of the premises is present, and make sure that the room is locked at all other times.
CAR PARKING
Unfortunately we are unable to provide any car parking spaces in the library staff car park for tutors using the Computer Training Suite.
TOILET FACILITIES
Toilet facilities in the Library will be available to those attending courses in the Computer Training Suite.
AIR CONDITIONING
The Computer Training Suite is air-conditioned. Please let Reference Library staff know if the setting is not satisfactory.
FIRE & EMERGENCY EVACUATION
The tutor or hirer will need to sign the ‘Evacuation in the event of an emergency: Computer Training Suite’ information sheet, and must explain the procedure to all members of the group at the beginning of each session.
SMOKING & NAKED LIGHTS
Smoking is not permitted on library premises, nor is any form of naked light (such as a candle flame).
ELECTRICAL EQUIPMENT
If you want to use your own electrical equipment on library premises, you must complete an Electrical Equipment Request form. Library staff are authorised to refuse the use of any apparently unsafe equipment.
ALCOHOL
No alcoholic refreshment may be brought onto or consumed in the library.
STAYING ON THE RIGHT SIDE OF THE LAW
Everyone in the library must abide by the Library Byelaws, Rules and Regulations currently in force and by copyright legislation.
LIMITATIONS
We reserve the right to
- Accept only bookings which the Group Manager considers appropriate for library premises
- Limit the number of people attending a session
The following applies only if you are hiring library computers
EQUIPMENT
- 16 computers: 15 for studentsand 1 for the trainer. The trainer computer is connected to a projector, scanner and smartboard
- Microphone for induction loop use
- Networked colour printer
SOFTWARE
- The operating system is Windows XP. Microsoft Office XP provides: Word, Excel, Access, Frontpage, Powerpoint and Publisher.
- The Internet browsers installed are Internet Explorer and Mozilla Firefox. Internet access is through the County Council and is filtered, so to ensure the smooth running of your course, please visit the Computer Training Suite to test website access.
- Library computers are configured for secure use by the general public, so access to some of the usual computer and software facilities is restricted. You must not attempt to amend or delete the preset programmes or settings on the computers.
TECHNICAL FAILURE
If a serious technical failure occurs during your booking, we will offer you the choice of an alternative date, at no extra cost, or the refund of your hire fee. We will not accept any other liability.
TECHNICAL SUPPORT
No technical support is available for library computers outside office hours.
LEGISLATION
Users of library computers must observe the conditions detailed in Devon Libraries Public Access Computers Acceptable Use Policy.
