Vestry Meeting Minutes

April 25, 2017

Open – Welcome

Rector Seth Dietrich called to order the regular meeting of the Vestry on Tuesday, April 25th at 7:03 p.m.

The following voting members were present: Rector and Vestry President Seth Dietrich, Senior Warden Mary Jones, Junior Warden Rick Donner, Jim Benton, Jean Bieszk, Steve Bruemmer, Carol Crowley, Kari Foote, Chris Goodale, Sam Harshner, Tom Herbstreith, Barbara Larkin, Sarah Murphy, and David Short.

The following non-voting members were present: Vestry Clerk Kathy Stanford and Treasurer Mike Giesecke.

The following voting member(s) were absent: Penny Cruse

Financials for March

Mike Giesecke reviewed the financials from March. Much like February, the financials are steady without much to report. Pledges are coming in as expected with 40% of our budget year to date which compares favorably to 2015 and 2016.

Line 5105: All Peoples Partnership received the full year payment of $2,000 in March which accelerates the usual $500 quarterly payment.

Line 5203: Salaries have been normalized for March reflecting timesheets being turned in.

Line 5620: Repairs and Maintenance is slightly below budget.

Bill Davies has completed the one page financial summary for the Good Shepherd Campaign which will be available beginning in May.

Good Shepherd Campaign/Building Project

Meredie Scrivner presented an update on the Good Shepherd Campaign. Since the kickoff on February 19th, $1.6 million has been raised with an additional commitment of $150,000 if the parish raises an equal amount in the next two weeks. There is great confidence that this challenge will be met by the ending date of May 7th

Tom Scrivner presented an update on the Building Project. The Building Committee is in the process of finalizing costs and is close to recommending the move from conceptual drawings to architectural drawings after the Good Shepherd Campaign has been completed. Decisions will need to be made about the decision to install fire suppression (sprinklers) or to do fire detection. Additionally, costs are being put together on the removal of hazardous materials that will be impacted by construction.

There was a discussion about when the best time to begin construction. There is a tight timeframe to get construction bids once all the architectural drawings have been completed and approved in order to begin construction in the fall of 2017. It was suggested to take the time to get everything in place and begin construction after Easter in 2018 with a projected completion date of mid October 2018. Construction bids can be locked in the fall of 2017 for work to be completed in 2018.

There may be a need to finance some portion of the building expense since donations have been made over a three year time frame. Various options for this are being considered if it becomes necessary.

There was a question about potential cost overruns and what safeguards are in place. Tom Scrivner indicated that there are safeguards and contingencies in place that should cover any unforeseen problems and associated costs.

There was also a question about whether any modeling had been done on projected increases in expenses like maintenance, insurance, utilities once the building project has been completed. This is in the process of being evaluated.

Living Compass/Wellness Report

Scott Stoner, Anne Curtis, and Jenni Sevenich gave a report on the types of wellness programs initiatives their committee is looking into that could build bridges into the community.

The group is planning to meet on Thursday, April 27th to determine next steps.

Rector’s Report

Seth Dietrich has three Skype interviews with three promising candidates for the Assistant Rector position set up for the first week of May. He feels very encouraged that the position may be filled by July.

Safe Child Policy

The Safe Child Policy and Procedures was reviewed. A motion to approve with several minor modifications was made and seconded. It was approved unanimously.

Additional Business

The minutes from the March 21, 2017 meeting were reviewed. A motion was made to accept the March minutes. It was seconded and approved unanimously.

Closing Prayer

Following the Lord’s Prayer, Rector Seth Dietrich adjourned the meeting at 9:07 p.m. Next meeting: May 23, 2017 at 7:00 p.m.
