Position Purpose / The Divisional Volunteer Resources Coordinator will implement the Territorial Volunteer Engagement strategy to enable Divisional corps and social programs stakeholders to effectively engage and retain volunteers to realise the organisation’s mission intentions. The role is responsible to train, coach and support corps officers and social program personnel to be equipped and knowledgeable on TSA’s policy and procedure and risk management framework in relation to volunteer engagement.
Qualifications / Experience in volunteer management desirable, Tertiary qualifications in business/marketing desirable and Certificate IV in Training and Assessment required

Strategy development / ·  Participate and contribute to the development of the TSA’s Volunteer Engagement Strategy and implementation plan to ensure the needs of the Division and volunteers are being realised

Education, training and coaching / ·  Equip and enable– train/educate/coach TSA officers & staff on how to engage, recruit & screen, induct and retain volunteers
·  Deliver training sessions on volunteer life cycle to relevant staff where required and or requested including relevant aspects of policy and procedures
·  Provide a coaching service to both volunteers and Corps/Social Centres to ensure that both needs are met, including facilitating grievances procedures where needed
·  Contribute to the Divisional Corps review process / ·  Deliver group and one on one sessions to increase knowledge and skill of officers and employees as guided by the Territorial Volunteer Management Training Plan
·  Increase stakeholders knowledge and use of TSA’s online volunteer management system as evidenced by an increase in the number of volunteers and corps and centres utilising the system in division(s)
·  Inform and record assistance provided to corps and centre personnel on volunteer grievances and performance issues with consideration of line management and volunteer management policy and procedures
·  Provide and direct stakeholders to the appropriate support material to ensure volunteers are informed and equipped in their volunteer responsibilities
Promotion and Relationship Building / ·  Contribute and develop positive and collaborative relationships with TSA Volunteer Resources team members to ensure knowledge and resources are shared and quality of output is assured.
·  Actively promote and market the benefits and value of volunteer engagement internally to DHQ, corps and centres to increase the number of volunteer opportunities
·  Actively promote and market externally the opportunity to volunteer in alignment with TSA values and mission to increase the quality and number of people engaged / ·  Attends and positively contributes to scheduled and unscheduled volunteer resource team meetings/interactions and provides support and expertise as required.
·  Develop and implement a volunteer engagement strategy and action plan in consultation with Divisional leaders to ensure the success of the volunteer program throughout the Division(s).
·  Promote volunteer opportunities on TSA website, Volunteer Resource Centres and through other mediums to generate interest
·  Provide support and guidance to potential volunteers on TSA volunteer opportunities and/or alternative pathways in response to enquiries
Policies & Procedures / ·  Contribute to the development and review of Territory volunteer policy and procedures for implementation and circulation in Division
·  Provide guidance on the application of policy and procedures in the engagement of volunteers across Divisional activities, centres and corps
·  Work within legislative and legal frameworks and The Salvation Army volunteer code of conduct and policy and procedure and risk assessment framework / ·  Maintain and contribute to regular meetings with TSA volunteer resources network to discuss quality & currency of volunteer management policies and procedures
·  Contribute and implement improvements to volunteer engagement policies and procedures in response to the Southern Territory volunteer resources network amended according to Division(S) specifics in consultation with Territorial Volunteer Resources Director
·  Divisional TSA officers, employees, volunteers and potential volunteers are made aware of the relevant state/federal legal requirements and accountability
·  All relevant legislative and TSA risk assessment framework are reflected in all support material for internal stakeholders and volunteers including volunteer role profiles
Public Relations / ·  Respond to public enquiries for volunteer opportunities by providing information with possible options and directions on how to register
·  Develop and implement the Corporate Volunteer engagement program in response to Territorial Corporate Volunteer framework
·  Ensure opportunities to promote volunteering externally through public events and media are explored and realised where ever possible / ·  Follow up all enquiries from the public regarding volunteer program are addressed in a timely and professional manner
·  Attend to corporate volunteer enquiries regarding volunteer opportunities for their employees and maintain list of opportunities with relevant TSA contacts

Information Management / ·  Contribute to the development, configuration, implementation, ongoing support, training and oversight of the new volunteer management system
·  Form a working group amongst key internal stakeholders to inform, review and develop the usage of the system and inform THQ Volunteer Resources Director

Volunteer Supervision / ·  Provide direction, oversight and support to your volunteers in meeting the requirements of their role and ensure ongoing productivity and retention
·  Recruit suitable volunteers to assist in achievement of role output / ·  Potential volunteers are interviewed and screened to ensure they meet the established selection criteria as outlined in the appropriate role profile
·  Volunteers are resourced to perform all aspects of their role with regular scheduled times to assess/affirm their progress, performance and satisfaction levels
Volunteer Management / ·  Contribute to the development of induction program in consultation with THQ Volunteer Resources Director and adjust to suit corps and social programs.
·  Promote and circulate induction material to all divisional corps and centres
·  Oversee the recruitment of volunteers to support DHQ and where needed for large events and/or emergencies, provide direct support in the recruitment, induction and rostering of volunteers.
·  Ensure divisional corps and centres follow territorial volunteer engagement policy and procedures in the recruitment, induction and retention of volunteers / ·  Contribute to the volunteer resources working group in the development of volunteer induction programs for different parts of the organisation
·  Oversee the currency of the online volunteer management system volunteer records, volunteer recruitment ads and associated information and reporting relevant to division(s)
·  Produce monthly reports on the currency of integrity checks and forward to Divisional headquarters and relevant stakeholders*
·  Produce monthly audit on currency of new volunteer completion of induction and any other necessary training required specific to their role*
Networking / ·  Form a TSA divisional volunteer engagement stakeholder group to effect positive change and inform culture and innovation
·  Network with other NFP volunteer management professionals to develop partnerships and position TSA as a leader in the sector / ·  Divisional TSA reference volunteer engagement working group to meet a minimum of four times a year to discuss specific issues and innovation opportunities
·  Attend volunteer management networking events where ever possible
