Description:

PMO functions in support of complex programmes and projects. To take a specific lead on Risks, Issues, Assumptions and dependency (RIAD) management and assurance and reporting. Ability to be an 'all rounder' to support all functions within the PMO as required.

Key tasks and deliverables:

  • Supply excellent project or programme related support across the Change Directorate portfolio,
  • Assist with effective communication between project management and the business
  • Provide a central project support services across the Change Directorate.
  • Maintaining central project records and producing regular management reports.
  • Whilst likely to be allocated to a particular project(s), the post holder will be required to work flexibly, providing project support as required across the Change Directorate.
  • Planning and scheduling Implement and maintain appropriate systems to enable effective planning and scheduling.
  • Monitoring and reporting Establish and maintain project controls, keeping the project manager aware of the project status.
  • Prepare project performance reports, presenting statistics and researching new information.
  • Ensure organisational tasks are carried out efficiently.
  • Manage and monitor compliance of the project with Departmental Security, Health & Safety, Equality & Diversity, Business Continuity and Business Planning.
  • Lead a team responsible for identifying, developing and deploying resources.
  • Manage workforce planning, providing information for effective decision making to the Project Manager.
  • Procurement of supplies and services related to project support within Delegated Financial Authority limits.
  • Manage professional relationships with a wide range of internal and external stakeholders, and act as lead point of contact for some external parties.
  • Draft and sign-off correspondence.
  • Financial control Monitor project spend and contribute to the compilation of budgets and the development of the business case.
  • Ensures an accurate asset register is maintained.
  • Manage potential risk areas, working with risk managers and escalating as appropriate. Desirable Criteria: • Experience of successfully supporting projects and working with multi-disciplinary teams to deliver results within fixed timeframes with limited resource. • Experience of organising teams, establishing processes and working to deadlines. • Able to use Microsoft Office tools, including Microsoft Project.
