Specific Areas of Support

Academic Support Coordinator

Coordinate administrative staff to provide effective and efficient support for staff and students in the Walsall Sister Dora Faculty Office

  • Support to the Academic Faculty Registrar (Academic)
  • Managing the work of the academic support administrators and administrative assistants
  • Conducting appraisal of academic support administrators and administrative assistants
  • Coordinating KIS data
  • New Academic staff induction in liaison with Staffing Administrator and HOD
  • Managing the timetabling process, obtaining departmental requirements and coordinating returns to Central Timetabling
  • Co-ordinating examinations
  • To be the responsible building ambassador
  • Supporting the workload allocation process and maintenance of the workload allocation system
Academic Support Administrators
To provide a high level of administrative support for staff and students
  • Support to Academic Support Co-ordinator as required
  • Course Guides – updating
  • Academic course and departmental support to staff and students in the Institute of Education, Institute of Health Professionals and Institute of Sport
  • WOLF course topic – develop and support
  • In-class tests – support with room bookings, examination booklets
  • Assessment dates – monitor and ensure eVision update
  • Maintaining accurate and up-to-date records on e:Vision, producing reports as required
  • Register inputting to link with the attendance tracking process
  • Co-ordination and collation of samples to EE
  • Co-ordinating assessment boards relative to external examiner requirements
  • Personal Tutor allocation – monitor and ensure eVision update
  • Organisation, coordination and servicing of committees, meetings and events including CMC’s

Academic Support Administrative Assistants
To provide administrative support for staff and students in a designated department:
  • Personal Tutor allocation – monitor and ensure eVision updates; in support of ASAs
  • Register inputting, linked to Attendance Tracking; in support of ASAs
  • Support the servicing of committees, meetings and events
  • Support archiving arrangements – student records
  • Reference requests / storage for future use
  • Provision of general , clerical and administrative services as directed:
  • Ordering and maintaining stationery stocks, including paper
  • Booking confidential waste numbers (bins / bags)
  • Ordering FEHW stationery i.e. assignment feedback sheets, tutorial record sheets
  • Logging facilities calls for relocation of parcels accordingly
  • Maintaining photocopiers – order toner/staples
  • Ordering catering supplies for generic use / meeting room
  • Compliance with lost property procedure

PLEASE NOTE:Photocopying is the responsibility of the individual member of staff and staff should use the Multi-Functional Devices (MFDs) available throughout the University and enabled by your staff ID card. In an emergency, the Academic Support Administrators can assist with course related photocopying/printing, but normally printing of class handouts or teaching materials should be planned well in advance and sent via SKYLINE to avoid potential delays if MFDs are not working or if staff are involved in other key activities.
PLEASE NOTE: Facilities Ext: 1111 - Individual staff should use this helpline to log calls relevant to jobs that they might need help with. For example, building faults, problems with doors, windows, heating and lighting etc., caretaking tasks, cleaning services, deliveries, room set ups, rubbish removal, roller towel replacement etc., spillages, and extra cleaning requests.
PLEASE NOTE: IT Support Ext: 2000 - Individual staff should log calls with IT support services if they are experiencing problems with their IT equipment.
