SNAP is seeking a qualified individual for an Administrative Operations Coordinator position, to work in SNAP’s Mission Support Core Area. This position is full time, (30 hours) regular and open to all qualified individuals. Job Description is attached.

JOB DESCRIPTION
Position Title: Administrative Operations Coordinator
Core Area: Mission Support

Time Classification: Full Time / Reg
Position Summary: The Administrative Operation Coordinator position is a multi-faceted high demand job providing administrative support for executive leadership staff, SNAP board committees, communications/fundraising team and supervision of Ft. Wright front office staff. Working in a fast paced, priority changing, complex environment, this essential team player will be a skilled, experienced administrative professional and supervisor with excellent organizational and communication skills.
Principle Duties and Responsibilities:
1. As directed, provide executive administrative support for members of the Executive Leadership Team including tasks, such as, assisting with travel arrangements, correspondence, purchasing, filing, meeting/calendar coordination and minute taking.
2. Provide backup coverage for Executive Administrative Liaison in their absence.
3. Provide administrative support for SNAP Board Communication and Fundraising Committee and Planning Committee including preparation of meeting materials recording and transcribing meeting minutes, coordinate all Board and Board Committee meeting room logistics and meals.
4. Serve as liaison between Ft. Wright IT users and SNAP IT support staff.
5. Oversees purchasing of supplies for the Fort Wright office and provide supply ordering support to the Ft. Wright Maintenance and Janitorial team.
6. Supervise Administrative front office reception staff and volunteer reception staff at the Ft. Wright Office including providing coverage and backup for front office reception.
7. Serve as operations coordinator for Fort Wright assisting with office moves, key assignment, mail room and oversight of building storage.
8. Serve as agency point person for both internal and external inquires of Ft. Wright conference rooms. Oversee meeting room calendars, room setup, room rental administration, clean up and collection of any rental fees if applicable.
9. As directed, provide administrative support for the staff communication and fundraising work team including, providing agency wide support for the ordering of business cards and nametags.
10. Provide administrative support and data entry assistance to the Asset Management team.
11. Coordinates repair requests for office machinery.
12. As needed and in consultation with Supervisor and Fiscal Director ensure that funds are receipted, deposits are prepared and petty cash, stamps are disbursed consistent with internal control mandates and fiscal policies.
13. Work with coworkers and volunteers to promote a positive, respectful and productive working environment, while protecting client confidentiality and dignity.
14. Within the context of the stated principle job duties, serve as ambassador of SNAP’s mission and values.
15. Completes assigned projects and performs related duties as needed or situation dictates.
16. Provides excellent customer service at all times as well as helps to grow the customer service culture within the agency.
Requirements:
Education and Experience
· Required: AA degree with three years administrative support and two years supervisory experience OR 5 years of administrative experience and two years of supervisory experience.
· Preferred: BA degree with two years administrative support, supervisory and building repair and janitorial experience.

Training and Certifications
· Valid drivers license, satisfactory driving record, personal vehicle and insurance for Agency business (mileage reimbursed)
Work Environment/Physical Activities:
Work is conducted in an office environment, in a central office location that can be highly stressful at times. Some lifting of office materials, delivers may be required. May deal with difficult people, sometimes in crisis situations. Local travel during periods of inclement weather may be necessary.
