Accessing the system

In order to use the system, you must first be added as a user in the Banner system. You must also be set as a personal tutor/advisor (PADV) to one or more students within the Banner system. If you’re unsure how to do this, please contact your department adminstator. The URL for the tool is:

If you have been registered in Banner and you have been assigned as a personal tutor/advisor, you will be presented with a list of your students as below:

To view the interactions of a particular student, click ‘View Interactions’ in the row of the student. The page below will appear:

Here you can see the interaction history of the student. You can see all interactions of a student with other tutors as long as they’re not archived.

Add a new interaction

To add a new interaction, click the ‘Add New’ button on the interactions screen. You will be presented with the following screen:

Here you can fill in details of the interaction of the student you are assigned to. Date, time and location details are mandatory, so the form will not submit correctly without this information.

Once you have filled in the interaction details, you can click save. You will be presented with the disclaimer below:

If you are happy to submit on these conditions, click okay. Otherwise, you can cancel the submission.

Viewing and editing an existing interaction

You are able to view the interactions of the student that you have current relationships with as well as other tutors who have current relationships with the same student. If you once had a relationship with a student, but no longer do, you will no longer have access to the history until you are reassigned.

To view an existing interaction click the ‘View/Edit’ button on the row of the student. You will be presented with the screen below:

Here, you can see the details of an existing interaction. If you are the author of the interaction, you can edit the details and save them. If you are not the author of an interaction, you can only view the details of the interaction, but editing will be disabled.

Archiving an interaction

If you do not want an interaction to be seen by other users, you can mark it as archived. This sets a flag on the interaction so that it doesn’t appear in other tutor lists. Please note that this does not delete the interaction, and if required, it can be retrieved. You can only archive interactions that were author by you, and will still show on your list. Archived interactions cannot be unarchived.

To archive an interaction click the ‘View/Edit’ button on the row of the student. You will be presented with the interaction record. Beneath the details box, you will see the Is Archived checkbox as per the screen below:

Check this box and click save. This will set the the interaction as archived.

Troubleshooting

I can’t log in / Have you been assigned as a personal tutor in Banner? If not, please contact your department administrator.
I can’t see any students / Do you have any students assigned to you in Banner? If not, please contact your department administrator.
I can’t edit an interaction / You can only edit an interaction that you created, is this the case? If not, please contact the author of the interaction.
