Dear All-State Band and Orchestra Parents and Students,

Congratulations on being chosen for a West Virginia All-State Ensemble! Selection to a WV All-State Ensemble is the highest honor that a high school music student can achieve. As your Director, I can’t thank you enough for representing our band well at the auditions. You are to be commended for your hard work and dedication. Thank you!

We will be headed to Charleston, WV on Wednesday, February 27th, 2013 at 2 p.m. via rental vans. We will return to JHS on Saturday, March 2nd around 11 p.m. All Jefferson High School All-State Chorus, Band and Orchestra students and teachers will be traveling together. We will be staying at the following hotel in Charleston, WV:

All students will be rehearsing in the Charleston Civic Center. Specific rehearsal rooms have yet to be assigned. We will be eating all of our meals at the Charleston Town Center Mall. They have a wide variety of eating establishments. The Mall is located directly across the street from the Civic Center.

All hotel accommodations and bus travel will be paid for by the Jefferson County Board of Education. Students are responsible for meal and entertainment money. Students will be responsible for 7 meals while on this trip. The hotel provides a complimentary breakfast each morning. I will be asking the Band Boosters for assistance with some student meal costs. I am advising parents that $75 should be enough for meals and expenses when everything is said and done.

The All-State concert will take place on Saturday, March 2nd at 1 p.m. (Tentative) at Municipal Auditorium. Municipal Auditorium is located on the corner of Virginia and Truslow Streets across from the Charleston Town Center Mall and next to the Federal Courthouse. The auditorium is located 2 blocks diagonal from the Charleston Civic Center.

Student attire for the concert is:

1. Band Uniform for the All-State Band

2.  White top, black pants, black shoes, black socks and tie for guys for the All-State Orchestra.

Please complete the permission form below so that your child may attend this event. Please include a cell number where I can reach you immediately in case of an emergency. Students are reminded that they are responsible for obtaining all make-up work prior to departure.

Wednesday, February 27th:

Attend School

12:30 p.m. – Eat lunch at School

1:00 p.m. – Load Bus

1:15 p.m. – Depart

3:30 p.m. –Rest Stop

5:00 p.m. –Dinner at Muriale’s Restaurant (Provide by Boosters)

6:30 p.m. – Depart for Charleston

Reststop at discretion of Bus Driver between Fairmont and Charleston

9:00 p.m. – Arrive at Hotel – Holdiay Inn Express Civic Center 304-345-0600

Thursday, February 28th:

8:00 a.m. - Wakeup

9:00 a.m. – Breakfast (Provided free at hotel)

10:00 a.m. – Conference Registration

11:30 a.m. – Eat Lunch at Town Center Mall

1:00 p.m. – Rehearsal Begins

4:00 p.m. – All-State Orchestra Rehearsal Ends

5:00 p.m. – All-State Band Rehearsal Ends

Eat Dinner at Mall Between Rehearsals and Jazz Concerts.

5:30 – 8:00 p.m. – All-State Orchestra Rehearsal

7:00 p.m. Mr. Lynch at Honor Jazz Ensemble Concerts. Students report here after rehearsals.

9:00 p.m. – Mr. Lynch at Bandmasters’ Executive Meeting.

10:30 p.m. – Quiet in rooms

Friday, March 1st:

7:00 a.m. – Wakeup

7:30 – 8:30 a.m. – Breakfast at hotel (Provided free at hotel)

8:00 a.m. – Phi Beta Mu Breakfast - Meeting (Mr. Lynch)

9:00 a.m. – Rehearsals Begin

12:00-1:30 p.m. – Lunch at Town Center Mall

1:30-4:30 p.m. – All-State Band Rehearsal

1:30-6:00 p.m. – All-State Orchestra Rehearsal* (Our students leave at 4:30 p.m.!)

4:00-5:00 p.m. – Mr. Lynch at Bandmasters Meeting

4:30-5:30 p.m. – Dinner at Mall

5:45 p.m. – Meet up with Symphonic Band at Civic Center

7:00 p.m. – Symphonic Band Concert

8:00 p.m. – Load Equipment

8:30 p.m. – Back to Hotel

10:30 p.m. – Quiet in rooms

Saturday, March 2nd – All-State Concert Day!!!

7:00 a.m. – Wakeup

7:30 – 8:30 a.m. – Breakfast (Provided at Hotel)

8:45 a.m. – Hotel Checkout

TBA – Band Dress Rehearsal at Municipal Auditorium

10:00-11:00 a.m. – Orchestra Dress Rehearsal at Municipal Auditorium

11:45 – 12:30 p.m. – Lunch at Mall

1:00 p.m. – Concert ($3 Adults, $2 Students)

4:30 p.m. – Depart for home. Attending parents are required to take their children.

6:00 p.m. – Dinner on way home

12:30 a.m. – Arrive Home.

You will be responsible for a total of 6 meals on this trip. I recommend bringing around $100 with you for meals and expenses.

STUDENT RULES

Please show respect for chaperones, classmates, and all other people you come in contact with. You represent not only yourself, but all of Jefferson High School. You are expected to act in a responsible and courteous manner at all times.

1. ALL rules and regulations of Jefferson High School and the Jefferson County Board of Education apply on this trip as do the consequences for breaking those rules.

2. There will be NO yelling, profanity, running or loud noises at any time.

3. Please be on time for all scheduled activities.

4. NO band member is allowed to leave the hotel or attraction at any time for any reason.

5. Members of the opposite sex may NOT be in the same hotel room.

6. You may NOT leave your hotel room after the required times for any reason. Please get your ice and sodas before the stated times.

7. ALWAYS travel in groups of at least two (2) when shopping.

8. Smoking, alcohol consumption and illegal drug use by students is strictly prohibited.

NOTE: You break it – You bought it . . . (even if it’s an accident)

NOTE: ALWAYS keep valuables on your person or locked up. YOU are responsible for your own money.

NOTE: I reserve the right to search any luggage, hotel room or person at any time.

NOTE: These rules apply to all students. Having your parents on the trip does not exclude you from these rules or afford you any special privileges.
