Administrative Assistant and Sub Coordinator Position

This is an experienced administration assistant position. An employee in this position, with direction from Assistant Principals or Administrative Assistant to the Principal, manages the secretarial work for three Assistant Principals and will also coordinate substitute teachers on a daily basis. This 12 month position requires a high degree of accuracy, accountability, attention to detail, and confidentiality.

Essential Job Functions

  • Performs general secretarial tasks, including but not limited to producing letters, reports, memorandums, etc. via the computer, makes photocopies, files, distributes mail, etc.
  • Answers telephone communications and records accurate messages
  • Keeps the calendarsand schedules appointments for the assistant principals
  • Communicates in a positive and effective manner with staff, administration, students, parentsand visitors
  • Daily coordination of substitute teachers and training of new subs. This requires a cell phone and the ability to send and receive text messages.
  • Keeps detailed records for paid time off for all faculty and staff that is reported semi-monthly to the CFO and credits teachers who sub with paid time off.
  • Keeps a pool of regular substitute teachers, does initial interviews for prospective subs with assistant principals and trains new subs.
  • Trains new teachers on the procedures for requesting time off and having a sub in their class
  • Perform other duties as assigned.

Requires Knowledge, Skills and Abilities

  • Ability to maintain confidentiality
  • Ability to prepare and type correspondence on the computer with a knowledge of business English, spelling, punctuation, grammar and office procedures
  • Ability to demonstrate strong human relations skills, positive communication and interaction skills when dealing with co-workers, students, administrators, parents and the community
  • Knowledge and proficiency in the use of computers and various word processing, database and spreadsheet programs andrecordkeeping
  • Knowledge and proficiency in the use of office equipment
  • Ability to communicate clearly and concisely in both written and oral form
  • Ability to coordinate his/her daily activities and schedule. This position requires the employee be at work by 8:00 a.m. each day and be available by phone and/or email during non-work hrs. so teacherscan report their absences.
  • Ability to be flexiblein a variety of situationsand remain calm under stress
  • Ability to maintain efficient office procedures and a system for keeping track of requested actions and reports
  • Ability to meet timelines and to perform multiple tasks concurrently

Minimum Education, Trainingand Experience

A college degree is preferred but a high school graduate with three years of general office experience of a clerical nature ora combination of education and experience to acquire the knowledge, skills and abilities cited above is acceptable.Experience working in a school setting is a plus. The salary range is $30,000 to $35,000.
