This screencast will be about how to setup a Sovernet email account on an iPhone/iPod Touch.

ASK

1. Needs assessment -do you need any non-human training at all? Or any technology at all?

The use of a screencast is appropriate as it will give the end user/tech a visual guide to follow along with; highlighting areas they need to access to get this configured correctly. Through the video playback they will be able to pause it and rewind in case it is moving faster than they are ready to work through.

2. Task analysis -List the very specific steps does the user need to do to finish the task?

A.  If this is the first account being set up on the iPhone or the iPod Touch, tap Mail. Otherwise, from the Home screen choose Settings > Mail, Contacts, Calendars > Accounts and choose Add Account....

B.  Choose email account type. For setting up email to work with Sover.Net service choose Other.

C.  Select Add Mail Account under the Mail section and enter account information. Fill in the username and email address. Then click Save.

D.  On the next screen press POP at the top.

E.  Incoming Mail Server Host Name: mail.sover.net

User Name: email name

Password: XXX

Outgoing Mail Server (SMTP) Host Name: smtpauth.sover.net

User Name: email name

Password: XXX

Tap Save to save the entered information. The iPhone will then verify the account information and fail. Hit save again and accept that the message about not being able to send email.

This will go back to the Mail Settings screen. It will still need to have configured the smpauth port.

F.  Go to Settings > Mail, Contacts, Calendars > Email Account. Scroll down to SMTP, select that, select the primary SMTP server, and scroll down to "Server Port". Enter 587.

G.  Tap Save to save the entered information.

H.  It should now have a fully configured account on the Apple iDevice.

3.Learning objectives -a list of The Learner Will Be Able To...

The learner will be able to successfully setup their email on their iDevice for use going forward.

The learner will be able to identify and update their settings if servers change.

4.Logistical questions: How/Who will you evaluate? Online? Think aloud? Where will it be hosted? How will it be built and accessed? Will it be public or private? Do you need a Subject Matter Expert? Do you have the right equipment and know how to use it?

To begin with, this will hopefully be used by our techs in supporting our clients to setup their new phones/ipods as there is a larger call volume on how to do so. It will be restricted to our private internal network till it has been reviewed by multiple parties and deemed ok to release on our website to help our customers out.

I will need to work to either find screen grabs out on the internet or find a good way to capture the screen with a recorder. I believe animated screenshots should be effective and keep the file size small to ensure speedy buffering and delivery.

5.Accessibility: ????

Chances are the people using this will not be familiar with technology or at least not comfortable with it. I will need to make sure each step is carefully highlighted and clear for the end user.

BUILD

1.  Design:

The way I went about designing the screencast was recording a call that one of my techs took when a customer called in to get help setting up their iPhone. I wrote down each major step they took and the order in which they worked the customer through the process. With that I was able to get a linear flow of how to not lose the customer/tech as each step logically built on the previous one.

2.  Develop:

I found that the video without highlighting the screen was hard to follow. I had originally thought about zooming in on each field as I discussed it, but found I couldn’t make it work effectively. Instead I turned to another favorite method I’ve seen in how-to videos, highlighting. I created a red box to highlight the field I need to use to be in, and with it being so simple, it isn’t distracting.

3.  L2 Evaluation:

The first subject tested didn’t have a Sovernet email account. She found that trying to work through the steps with the example account was easy enough, but required an audio part about how the user will need to make sure they have their email address and password. It is a common problem when people are trying to setup an account and don’t have those critical pieces of information. Also removed the section on the advanced settings, as this is a basic tutorial and the tester said she felt like she didn’t need it as the default settings work.

4.  Launch:

Uploaded it to YouTube and linked it from the college Blog.

5.  L2 Evaluation:

There were two people who reviewed this video after the changes were made.

The first one was a Sovernet tech. He is one of the intended targets of this video for assisting him in setting up his callers on this device. He does have an iPhone and is familiar with technology. His feedback on the video was that he thought it would be good for customers, but for his use it wouldn’t be very logical. He would prefer screen shots as he can’t have the audio going while he is on the phone listening to a customer. He would also prefer screen shots so he can move through at the speed of the customer and not the video.

The second one was again a user that didn’t have an iPod. She was a member of the customer target, a new user that just got a new device and wanted to configure her email account on it. She found the video easy to follow and thought the highlighting made it very easy to keep pace with the narration. Her feedback was more focused on the audio. She felt that the idolisms used were forcing the user into a relationship with the narrator and thought that those should be removed. Along with recording a new audio track that sounded like it followed a script and didn’t feel like it was “shot from the hip”.

6.  Revise & Relaunch:

The video is currently undergoing a script rewrite and new audio is being recorded.

Communicate

Launch into organization. Publicize, market, train, document via screenshots, photos, video, save text. Report on how traffic, or usage will be measured? Is it built into the hosting of the module? How did it go to market it?
