Location: Initially based at Southwood KS3/4 Deal, some travel between sites may be required

JobDescription:

MAIN ACTIVITIES ATTRIBUTED TO THEPARTICULAR DUTIES:

  1. Requirement for confidentiality.
  1. Manage the school office diary, logging appointments and taking bookings for meetings.
  1. To receive visitors, take telephone calls, relay messages, receive school mail and contact parents/carers and other external agencies.
  1. To deal with photocopying and distributing newsletters and circulars. Photocopying, collating and assembling school documents etc.
  1. Recording the daily registration of and ordering the FSM for alleligible pupils, also using the school recoding system (T2P, Registration forms, Phone logs, Late book).
  1. Monitor the use of the school Franking machine, also liaise with Upost, and post any mail at the end of a working day.
  1. Recording the daily registration of staff and pupils taking school meals.
  1. Administration of admission forms, typing offer of place letters, class lists and preparing induction packs and brochures.
  1. Responsible for updating the school Sharepoint Calendar and website Calendar with Key school Dates
  1. Accept & checkdeliveries for all school resources and record accordingly, and notify relavant members of staff.
  1. Maintaining the school stockroom through regular stock taking, submission of orders and ensuring tidiness and accessibility.
  1. Maintaining school uniform stock through regular stock taking and submission of orders
  1. Dealing with emergencies and administering first aid for children, recording in the Accident Book, typing letters home and keeping a record of all children who arrive late or leave school early during the school day.
  1. Maintain access control procedures for the school site, using the school intercom systems.
  1. Help pupils with general enquiries ( lost property, uniform, mobile phones etc).
  1. Monitor and keep a record of the staff sickness, keeping a database, and completing paperwork for SPS.
  1. Ensure staff contact list and emergency contact details are kept up to date.
  1. Record and keep evidence of visits from external H&S visits e.g. ( Fire checks, Water, Alarm, Security, Maintenance).
  1. Keep a running budget sheet of the Centres allocation, using the finance officer’s template. Providing data on request to the centre manager on budget breakdowns.
  1. Monitor and maintain the set-up of pupil files and kept up to date.
  1. Type up the minutes for any staff meetings, and distribute to staff.
