Enrollment Details 2007-2008:

- Aug. 25th is used as the enrollment date for all students enrolling before school begins. After school starts use the day that the student enrolls (i.e. Sept 5, 6, etc.).
1. Attendance in Sept.:
- If a student was here last year and does not show up on the first day, the student is marked absent until s/he returns or is determined to have gone elsewhere over the summer, in which case s/he is withdrawn as of June 25th (see Entry//Withdrawals section below).
- If a student was not here last year and does not show up the first day, you have the option of chalking that up to being in transition in between districts and you can choose to not mark the student absent until they do arrive, but if you do that then you must change the enrollment date to the day that the student arrives so that it does not look like the student was present on days that s/he was not.
2. Entry/Withdrawals in Sept.:
- If a student was never here, enrolls over the summer, but does not show up by third friday count, then withdraw the student as of Aug. 26th or any day before the school year starts! For example, you can withdraw on Sept 14th and date it Aug 26th. Last year I asked everyone to delete the unused enrollment as if it never existed. This year you can, or, Skyward has made a change to allow you to withdraw the student before the calendar year starts and Skyward will now ignore that record when transferring new enrollments to DPI. So you can choose to not delete the enrollment, provided the withdrawal occurs Before the first day, not On the first day of school. All enrollments are sent to DPI, we don't want DPI to automatically send Janesville a request for Joey's records just because we had him enrolled when he wasn't even here. I will not send any enrollment updates to DPI until after the 3rd Friday count so you have time to clean up no-shows who were never here this year.
- If a student was here last year, and does not show up in Sept., the student must be tracked down by going to the house and tracing siblings before 3rd Friday count. If the family completely disappeared and has previous addresses in other states or countries, you may withdraw the student as code ’07, Loss to other State or Country’. If a student does not show up by 3rd Fri. count then the student should be withdrawn using a date of June 25th!
3. Open Enrollment:
- Entity 001 is for open enrolled out students, it signifies all other districts in WI. If a student is enrolled out, the student is entered into entity 001 to signify Janesville, Turner, or where ever. When they return, you will have to act as the other district by changing your entity to 001 to withdraw the student as of June 25th. From entity 001 use code: ’06, Loss To Other WI District’, put in the comment field ‘Back To (insert school here)’. While withdrawing, a screen may pop up listing the student’s Programs, highlight ‘Resident Enrolled Out’ and click the right arrow to move it to the ‘Selected Programs’ list. Skyward will then withdraw the student from ‘Resident Enrolled Out status’. If you do not get that Popup, then manually go to the NCLB-2 tab, select Open Enrolled Out, and end the Open Enrolled Out record. You may then enroll the student into your own entity.
- When a student open enrolls out, enroll the student into entity 001 instead of into your own entity. Then go to the student’s WI-NCLB tab < Select the ‘Resident Enrolled Out’ option in the left column < Add an ‘Resident Enrolled Out’ entry record using Aug 25th of that year. If the student is an Additional Year Tuition Waiver Out, do the same as above except in the E/W tab use the school code ‘TUW’, and in the WI-NCLB tab there will be a pull-down menu which gives you the option of selecting Tuition Waiver while you are creating the ‘Resident Enrolled Out’ record.
- When a student open enrolls in, enter them into your entity using school code ‘o’ such as 02o . If the student is an Additional Year Tuition Waiver (missed the deadline to apply last Feb.), use school code ‘t’ such as 02t . If the student is a Current Year Tuition Waiver (moved out of Beloit this year), do a Status Change to switch the student to school code ‘w’ for ‘Moved to WI District, Finish Year Here’, or use school code ‘i’ if the student moved to Illinois and is finishing the year here. Students in school code ‘w’ must apply for open enrollment in Feb. to continue attending next year. Students in code ‘i’ can only return next year if they pay full tuition or if they get a School Board waiver. After adding an ‘open enrolled in’ or an ‘additional year tuition’ waiver student, go to the student’s WI-NCLB tab < Select the ‘Non-Resident Enrolled In’ option in the left column < Add an entry record using a date that matches the student’s latest entry date after the Status Change.
