JOB SUMMARY

The Credentialling Specialist assists in the coordination of credentialing activities in the Medical Staff Office by working with the Senior Credentialing Specialist and the Manager, Medical Staff Services Medical Staff Coordinator in the processing of applications for initial appointment and reappointment, maintaining a current physician/AHP database and maintaining current physician/AHP files. In addition, this individual provides general clerical support and back-up to the Department Manager and Chief Medical OfficerMedical Staff Coordinator and Medical Director as necessary so as to assist in the smooth functioning and operation of the Medical Staff Office.

MAJOR JOB FUNCTIONS

The following is a summary of the major essential functions of this job. The incumbent may perform other duties, both major and minor, that are not mentioned below, and specific functions may change from time to time.

  1. Initiates processing of applications for medical staff/AHP appointment so as to ensure that appropriate verification of information is obtained.
  2. Initiates processing of applications for medical staff/AHP reappointment so as to ensure that applications are processed prior to expiration of current appointment.
  3. Assures medical staff/AHP files are kept current and organized in an orderly manner.
  4. Assists the Senior Credentialing SpecialistMedical Staff Coordinator in maintaining current physician/AHP data base.
  5. Provides back-up to the Senior Credentialing Specialist and Department ManagerMedical Staff Coordinator in attendance at meetings and recording minutes.
  6. Responds to requests for information, applications, etc.
  7. As appropriate, answers incoming calls, routes callers, takes messages and gives routine information to callers.
  8. Performs routine clerical duties as requested or necessary to ensure the smooth function of the office.
  9. Performs other related duties as assigned or requested.

Computer, printer, copier, shredder, telephone, calculator and fax machine.

QUALIFICATIONS:

The following qualifications, or equivalents, are the minimum requirements necessary to perform the essential functions of this job:

Education and formal training: High school graduate required; Associate Degree in Secretarial Science preferred.

Work experience: A minimum of two years experience in a responsible secretarial position is required; a background in medical staff credentialling in a hospital setting is highly desirable.

Knowledge, skills, and abilities required: Knowledge of regulatory (Joint Commission, CMS, HCQIA) requirements related to medical staff services/credentialing is desired. The incumbent must possess a working knowledge of Microsoft Word, Excel, Access, and PowerPoint as well as flow charts. Previous experience with credentialing software is desired. preference for working with the public and ensuring that the office functions properly are required. Verbal communication abilities are needed to comprehend and communicate effectively with all levels of hospital staff. Works with highly sensitive information and materials, therefore, confidentiality is of utmost importance.

Must be able to type at a sustained speed of at least 50 words per minutes and be familiar with Microsoft Word and Windows 95 programs. Physical Requirements: Must be able to communicate both verbally and in writing with various education and professional levels and backgrounds. Work is sedentary in nature. May on occasion require attendance at early morning and late evening meetings.
