Digital Initiatives Department Annual Report 2004-2005

SMARTech was launched on August 1, 2004. As of June 1, 2005, 4,500 items had been ingested; approximately 400 items per month.
Susan Parham created 11 communities and 35 collections in SMARTech. She served as primary contact to the campus entities for the 11 communities and provided training and follow-up where necessary. Susan provided training for SMARTech to CERCS, CATEA, library employees, ICM, and ASDL and demonstrated SMARTech for all library employees. She also provided documentation for all policy decisions, software changes, and community contact information and worked closely with ICM for metadata creation and editing in SMARTech.
Kent Woynowski created 7 communities and 9 collections with 259 items. He serves as contact for each of the 7 communities he contacted. Kent has worked closely with the Digital Initiatives Department on electronic publications issues. He has also taken the lead on the Fulton Bag and Cotton Mill digital project which is a joint project with Library Archives, Systems, Digital Initiatives, and professors in HTS.
Karen Smith submitted 484 items to SMARTech and edited 2,159. She created and maintains documentation for entering descriptive metadata into SMARTech, created 1,179 keywords for metadata creation and editing, and works closely with ICM on metadata creation and editing in SMARTech. Karen also monitors existing community output for relevant materials for SMARTech.
GALILEO Knowledge Repository
The department has been involved in the proposal of the statewide repository program or GALILEO Knowledge Repository. A proposal was devised with Georgia State University and University of Georgia personnel and presented to Merryll Penson of the USG Board of Regents. The repository will be hosted by Georgia Tech following the same model as the hosting of the GIL catalog by Georgia State and UGA. Catherine Jannik, Susan Parham, and Karen Smith participated in Metadata Working Group meetings and conference calls with GSU, UGA, GSU, USG/ALT, and MCG. Susan’s expertise in the workings of DSpace and related metadata needs contributed greatly to a minimum metadata standard acceptable to all parties which serves as a first step towards a statewide repository.
National Digital Information Infrastructure Preservation Program
Catherine Jannik worked closely with Tyler Walters and Larry Hansard on the NDIIPP/Library of Congress MetaArchive project. She led the Content Committee’s efforts to draft a Scope Document and create the Conspectus Database and accompanying MetaArchive Collection Description Schema. She also submitted and supervised submission of Georgia Tech collections to the Conspectus Database for harvest later this summer and will continue submitting Georgia Tech materials throughout the project.
Electronic Theses and Dissertations (http://etd.gatech.edu)
The department continued to work closely with the Graduate School on this program. We received 498 ETDs between Summer 2004-Spring 2005 which have been catalogued and the dissertations sent to UMI/ProQuest. All of these ETDs plus 75 retrospective dissertations from IPST and the 748 already existing ETDs were added to SMARTech with a metadata crosswalk developed by Susan Parham.
A Beck Foundation grant of $52,385 was applied for and received for the retrospective conversion of all theses and dissertations prior to Fall 2003. Digitization of those items will begin in August of 2005. The digitized theses and dissertations will be available to campus and, pending permission from the authors, they will be open to the public.
The department is also involved in the beginning stages of an ASERL project for the preservation of ETDs using the LOCKSS software with other ASERL/LOCKSS Alliance members.
Artistic Services
Laurel Crafts performed or supervised all digital imaging in the department for artistic services and digital projects.
A Photographic Atlas of Selected Regions of the Milky Way by E. E. Barnard (http://www.library.gatech.edu/about_us/digital/barnard/index.html) designed by Laurel Crafts and built in collaboration with Heather Chritton, the library’s web developer and Mohsen Mahdavi-Hezaveh, library programmer, and Georgia Tech astronomer Dr. James R. Sowell went live in July and was completed in October. Laurel designed an information publicity postcard for the exhibit and sent them to astronomy departments, societies, and clubs. She also attended the American Astronomical Society annual meeting in January with Dr. Sowell to make a presentation on the site. Reaction to the site has been quite favorable and resulted in William Sheehan, author of the definitive work on Barnard, The Immortal Fire Within: The Life and Work of Edward Emerson Barnard granting the department permission to mount an excerpt from the book on the site.
Laurel helped to propose and is working on the imaging and design of the Fulton Bag and Cotton Mill project.
Personnel
Karen Smith from IPST joined the department in September 2004 as a Library Assistant III and was reclassified to a Library Associate I effective April 1, 2005. Karen completed an online SOLINET workshop on Metadata for Digitization and Preservation in October 2004 and has completed 4 of 6 modules of Skill Circle online training in XML.
Laurel Crafts was reclassified from a Project Coordinator I to a Project Coordinator II effective July 1, 2005.
Kent Woynowski joined the Archives and Records Management Department on November 15, 2004 as the Digital Collections Archivist. This position’s responsibilities include the electronic campus publications portion of SMARTech. Kent attends the Digital Initiatives Departmental meetings on a weekly basis and works closely with Susan Parham on establishment of communities, collections, and policy issues.
A search for a second Digital Initiatives Librarian was undertaken during this year and Julie Griffin will be joining the department in that capacity on August 8, 2005.
Jeanne Downey of the Acquisitions Department completed an independent study for her library degree coursework at Florida State University under the supervision of Catherine Jannik. She participated in an NDIIPP meeting and submitted collection level metadata to the MetaArchive Conspectus Database in addition to learning about all the Digital Initiatives programs and meeting with library staff regarding their specific areas of expertise.
Susan Parham continues to serve on the library’s committee to create a personalization service for the library channel within the campus portal BuzzPort. Susan also served as the secretary of the LFO 2004-2005 and on the Digital Initiatives and Cataloging and Metadata librarian search committees.
Catherine Jannik served on the SPARC/IR Workshop planning committee, the LITA National Forum 2005 planning committee, and was appointed to the LITA National Forum 2006 planning committee. Catherine also served as the president of the LFO 2004-2005 and on search committees for Digital Initiatives librarian, Head of Archives, Access archivist, and Digital Collections archivist positions. She also served on the ad hoc LFO committee for elevating archivists to library faculty status.

Goals for 2005-2006
Institutional Repository
Increase ingestion of items and continue forming partnerships with campus entities in
part by devising and implementing a collection development plan using the
library’s collection development policy as a starting point and identifying and
collecting the most significant and most “at risk” digital intellectual output of
Georgia Tech.
Continue to study and improve SMARTech, including a review of other university
DSpace and other IR software implementations to determine if any creative uses
may be applied to SMARTech.
Continue to work with other campus DSpace implementers to facilitate harvesting of
materials.
Continue working with the Digital Collections Archivist on policies for campus
e-publications and other campus created converted or born-digital materials.
Continue working with OIT on a Digital Asset Management System for the campus of
which SMARTech will be a component.
Develop brochures and information sessions, including a brown bag offered through
OOD, with Archives, Records Management, and Digital Collections Archivist
regarding campus outreach for collection of materials.
Other Projects
Continue migration and refreshing of existing digital objects.
Continue department’s involvement in the National Digital Information Infrastructure
and Preservation Program/Library of Congress Grant with Emory University.
