TEST/EXAM ADMINISTRATION IN ADAPTIVE SERVICES

Faculty members may have students in their classes who are provided services through FGCU’s Office of Adaptive Services. Students with disabilities may register with the Office of Adaptive Services (OAS) by providing recent documentation of their disabilities, being assigned a case manager, participating in an intake interview and cooperating in the development of a plan for accommodating their disabilities on campus, in classes and, if needed, in student housing.

After a student registers and completes a plan with his or her OAS case manager, an accommodation letter is emailed to the student’s instructors. Those instructors are welcomed to communicate with the student’s case manager if further information or clarification of the plan of accommodations is needed in order to implement those accommodations in the classroom effectively. The instructor is also encouraged to meet with the student to discuss the accommodations and how best to apply them within the classroom setting.

Some accommodation plans support extended time on tests, or other testing accommodations, as a reasonable accommodation. Students who have these accommodations may take their tests/exams in Adaptive Services if the instructor is unable to provide the accommodations.

If the student needs to take a test, quiz or exam in OAS, the following explains the necessary procedure:

  • The student completes his or her section of the Test Schedule Form, which is available in OAS or on Canvas.
  • The student then takes the form to the instructor who completes the appropriate area on the back of the form.
  • The student submits the form to the OAS Testing Coordinator. Information from the form is then entered into the OAS master calendar, noting the student’s accommodations and any test aids or equipment allowed for all students in the class, as well as other information included for the test/exam.
  • The deadlines for submission of the Test Schedule Form are four business days before a regular test and two weeks prior to the final exam for the course.
  • Instructors may send tests/exams to OAS at any time once the form is submitted, as long as the test/exam is received in a timely manner up to one day before the administration date.
  • A test/exam reminder email will be sent to the instructor prior to the date stated on the Test Schedule Form if the test/exam has not yet been received.
  • When a test/exam is received, it is packaged and kept in a safe in the OAS until its administration.
  • Completed tests/exams are delivered back to instructors by the next business day. Another option for completed test/exam delivery is scanning and emailing it back to the instructor, if preferred. The hard copy is then shredded for security.

Standardized Testing

OAS cooperates with the FGCU Testing Center in administering standardized tests required for courses or for various certifications. Examples of these are the Grammar Exam, ATI and ETS. Students taking any of these exams must begin their arrangements with the Testing Center which then works with OAS in scheduling and accommodations.

Recommendations to Instructors

Fill out your area of the Test Schedule Form completely so you know the date and time your student is taking the test/exam at OAS. There is space for multiple quizzes/tests/exams. Record this information in your calendar.

Check your student’s Accommodation Letter so as to be sure of his or her reasonable accommodations, such as specific time extensions for tests/exams, large print, etc.

Poor planning on a student’s part does not constitute an emergency on your or OAS’s part. Although it is, of course, up to you, you are not required to intercede for a student who has not submitted the Test Schedule Form by the stated deadline.

Also, a student is only allowed to arrive for a test/exam up to five minutes late unless there is communication with our office of extenuating circumstances. Students are also not allowed to start an exam more than five minutes early. Additionally, if an instructor notes that a test/exam is timed in the class, it will be timed in OAS.

Tests/exams taken in OAS must be completed by 6:45 M-Th. and Friday by 4:45. Hours will vary for final exam week, summer and when classes are not in session but the University is open. Check with OAS for available hours during those times.
