A key onsite promotional opportunity, the registration bag is distributed to all attendees at check-in. Your investment includes one bag insert and your company’s logo on the outside of the bag.

Lanyards | Investment $2,500 (plus cost of lanyards)

This is an excellent promotional vehicle to promote your company’s website, product name, and brand. Lanyards will be provided to all attendees at check-in.

Pads and Pens | Investment $2,500 (plus cost of pads and pens)

3 Opportunities – Monday, Tuesday and Wednesday

Conference attendees will use these pads and pens throughout the conference and beyond! Your investment includes pads and pens placed at each chair for the first general session of the day.

Doral Room Key Cards | $4,000 + cost of cards

Be front of mind, and in the pockets, of every attendee staying at the Doral by sponsoring the Hotel Key Cards! These custom key cards are given to all NICSA hotel guests from the beginning to the end of the conference.

Gift/Promotional Item/Flyer in Attendee Bag | Investment $1,000 (plus item)

Have a story to tell? Want to provide attendees with a promotional product, insert, or a message regarding your company or a service you can provide? Your message/flyer or promotional product will be inserted into the registration bag and given to all attendees at check-in.

Onsite Conference Program and Exhibitor Directory | Advertising

Provided to every attendee at check-in, the conference directory stays in their hands throughout the conference. The Guide will include Exhibit Hall information and the complete conference agenda. Attendees use it as their guidebook during the conference, and many hold on to it long after the conference as a reference guide to the information and services highlighted at the meeting.

5.SUBLEASINGof ExhibitSpaceisprohibited.Allsigns,displays,persons,andproductin thebooth(s)mustbe relatedtotheexhibitingcompany.

6.SPACEASSIGNMENTSshallbeindicatedontheexhibitspacerentalagreementas approvedbyNICSA.Thereisnomaximumnumberofboothsthatcanbepurchasedbyone organization,however,NICSAreservestherighttorearrangeoradjustthefloorplanto accommodatethebestinterestsoftheShow.

7.BOOTHPACKAGETOINCLUDEForeach8x10boothNICSAwillprovide8’highback walldrape,3’highsideraildrape,andboothsignage.Theexhibithalliscarpeted,however shouldyourequirethickercarpetyoumayorderitdirectlyfromtheGeneralContractoratanadditionalfee.AdditionalfurnitureandserviceswillbeavailablethroughtheExhibitorServicesManualor ShowKitprovidedbytheGeneralContractor.

8.BOOTHSIZE/RESTRICTIONS/RULES Theactualusableexhibitareaisreducedbysix inchesfromgivendimensions.Widthofexhibitspacesshownontheofficialfloorplanis measuredfromthecenterofsiderails.Depthistheoverallmeasurementfromthefaceof the frontpostto thebackoftherearpost.Exhibitstructuresmustallowfordraperysiderails andbackdrops,andaccesstoelectricalwiring.Atleast12 inchesisrecommended. Exhibitorsshallconfinetheiractivitiestotheirallottedexhibitspaceextendinguptoeight feet,eightinches.Allstandardlinearexhibitsmustbeconfinedtoamaximumheightofeightfeet,eightinchesifceilingheightandapplicableregulationspermit.Anyboothsover eightfeet,eightinchesmayberemovedatshowmanagement’sdiscretion.Alldisplay fixturesoverfourfeetinheightmustbeconfinedtowithineightfeetofthebacklineofthe exhibitspace.Allfloatingobjectsmustremaintetheredwithintheallottedboothspace. Nofree-floatingobjectsareallowed.Noobjectsmaydisruptthelineofsightin theexhibit hall.Allexhibitsmustbefreestanding.TheExhibitormaynotpaint,tape,nail,screw,drill, tack,etc.anythingto thewalls,columns,floors,ceilings,oranypermanentfixtureofthebuilding,or tothedraperybackdropsorsidedividers.Exhibitorsshallnotobstructtheview, oradverselyaffectthedisplaysoftheotherexhibitors.Allactivitiesmustbeconfinedtothe allocatedexhibitspace.Solicitingoutsideoftheconfinesoftheexhibitors’assignedbooth spaceisprohibited.Exhibitorpersonnelshallnotenteranotherexhibitspacewithout permissionfromthatexhibitorandatno timeenteran un-staffedexhibitspace.Dollies, carts,andothersuchdeviceswillnotbepermittedon theexhibitfloorduringexhibithours withoutthewrittenconsentofNICSA.Exhibitoris responsibleforalldamagetoproperty causedbythemselvesortheirpersonnelandisliabletotheownerofthedamagedproperty.NICSAisthefinalauthorityon allmattersrelatingto operationandconduct.

9.DISPLAYVEHICLESIfapplicable,musthavebatterycablesdisconnected.Fueltanks mustbeequippedwithlockingcapsorbetapedshut.Displayvehiclesmustnotoccupy morethan80%ofthecontractedexhibitspace.

10.HANGINGSIGNSMaynotexceedheightlimitationsofeightfeeteightinches.Hanging signsmustbefinishedonallsides.ExhibitorsmustreceivewrittenpermissionfromShow Managementtoincludeahangingsignaspartoftheirdisplay.

11.SOUND/AUDIOVISUALRESTRICTIONSAllaudiovisualequipmentmustbeself- containedandfireproof.Noexhibitorshallshowanygoodsorapparatusinoperationifthe samearenoisyorobjectionabletosurroundingexhibitorsorShowManagement.Thesoundmustbekeptatavolumenotto exceedthatofanormalconversationor80 decibels. Suchequipmentmustnotexceedtheheightlimitationsoftheexhibitspace.Video presentationsmustbedevotedsolelytothebusinessoftheexhibitingcompany.Neither NICSAnorShowGeneralContractorwillberesponsibleforobtaininganyaudiovisual equipmentneeded–equipmentcanbeorderedfromtheHotelandinformationisavailablein theShowKit.

12.FIREANDHOTELRULESFireDepartmentRegulationsandHotelRulesand Regulationsmustbeobserved.Combustiblematerialsorexplosivesarenotpermittedinor aroundtheexhibitareasunlessgrantedspecialpermissionfromNICSA.Exhibitsshallnot blockvieworaccesstofirealarmboxes,firehosecabinets,fireextinguishers,orother safetyequipment.

16.BADGE/ADMITTANCE/REGISTRATIONINFORMATIONAdmissiontotheshowwill be byofficialNICSAregistrationbadgesonly,whichmustbewornatalltimes,including setupandtear-down.Youmustregistertobeabletoattendtheevent—RegistrationisNOT automaticaspartof yourboothcontract.Badgesarenontransferableandmustbe wornby thepersonwhosenameison thebadge.Exhibitorpersonnelwillbeallowedtoenterthehall30minutespriortoShowopeningandduringspecifiedsetupandteardownperiods. Exhibitorpersonnelmustexittheexhibitareaswithin60minutesofthestatedcloseofthe Showeachday.Non-exhibitorswillbeallowedonthetradeshowflooronlyduringspecified Showhours.UponwrittenrequesttoNICSA,temporarybadgescanbemadeforbooth setup personnelONLY.Withatemporarybadge,personnelwillbeallowedintotheexhibit hallforsetuponly.Aftersetuphours,boothsetuppersonnelwillberequiredtoexitthe exhibithall.

17.PHOTOGRAPHY/VIDEOTAPING Photographyandvideotapingareprohibitedwithout thewrittenpermissionofNICSA.

18.HOSPITALITYSUITESOnlyregisteredexhibitorsmayhosthospitalitysuitesduringtheNICSAAnnualMeeting.SuitesshallnotcompeteorcoincidewithanyNICSAeventand mustbeclosedduringscheduledofficialfunctionsofNICSAduringthemeetingdates.

19.COMPANY/VENDORSPONSOREDEVENTSCompany/vendorsponsoredevents mustnotbescheduledduringNICSAprogramhours.

20.OFFICIALBOOTHREPRESENTATIVEThesigneroftheexhibitspacerental agreementshallbetheofficialrepresentativeoftheexhibitingcompanyandshallhavethe authoritytoactonbehalfoftheexhibitorinallmattersrelatingtotheShow.Anychangesof representativemustbepromptlyprovidedinwriting.

21.NICSARULES/REGULATIONSNICSAwillnotbeboundtoanyverbalagreements, representations,orstatementsbetweenExhibitors,Hotel,or NICSAstaff,oranyother partiesunlessconfirmedandsignedinwritingbyNICSA.

22.NICSASPACEAGREEMENTTERMSBysigningthisspaceapplication,theexhibitor agreestoabidebytheserulesandregulations,andbythedecisionsofNICSA.This contractwillalsobecomebindingonboththeExhibitorandtheAssociationuponits acceptancebytheAssociationorShowManagers.

23.UNIONRULESANDREGULATIONSNICSAexpectsall exhibitingcompaniesto respectanyestablishedunionrulesandregulationsasoutlinedintheExhibitorServiceKit.

24.NICSATRADESHOWDISCLAIMERTheNICSATradeShowisopentoallbusiness entitiesthatprovidegoodsandservicestoNICSAmemberagenciesandmeetingthe criteriaestablishedbytheBoard.NICSAdoesnotendorsenorevaluatetheproductsor servicesoftheShowexhibitors.Therefore,thefactthatabusinessentityexhibitsataNICSATradeShowshouldnotbeconsideredasanendorsementbyNICSAoftheproducts orservicesofthatexhibitor.

25.ATTENDEELISTExhibitorswillbeissuedaone-time-usepre-showandpost-showlist formarketingpurposeswhichmustbeusedwithin45daysofcloseofevent.Abuseofthis one-timeonlyrulemayresultinexpulsionfromfutureNICSAevents.
