Get to know your partner club leader!
Fill out what you can—you may not have all the details of your club in place, but anything you can tell your partner early on will be helpful!

COMMUNICATING WITH TECHNOLOGY
Since you and your partner club leader will be sending each other partner exchanges consisting of text, photos, scanned documents, and possibly video, you’ll want to discuss what technology you each have available.
Are you able to take videos? Will you be able to show videos to your kids in your club setting?
Is a scanner available so that you can scan kids’ forms or sketches? Is it possible to take (legible) photos and send them? What about using a fax machine to send them?
Is there a possibility that you could do a live Web chat through Skype, text messaging, or some other method? (This will also require figuring out the time difference and whether there’s a time when kids from both clubs could be available.)
GET TO KNOW EACH OTHER BEFORE THE CLUB STARTS— FIND A TIME TO TALK!
As partner leaders, it’s important that you get to know each other before the club starts. Try to have at least one phone conversation early on.
What is a good way to talk that you’re comfortable with? WhatsApp, Skype, Google Hangouts, FaceTime, or another method?
Given that the time difference is ______hours between your countries, what time and day (weekday or weekend) would be possible for a phone call (include time zone)?

Talk to your partner about information that will excite kids about their partner country: famous people, attractions, distinctive geography, different languages, customs, holidays, food, or ethnic and cultural groups.
Schedule Coordination: Tentative Dates for Running the Club
A worksheet is provided on the next page so that you and your partner leader can start to coordinate your schedules. In coordinating your schedules, keep the following in mind:
· Your clubs will need to do the same sessions in the same week.
· The partner exchanges will also need to happen in the same week.
· Check your calendars—are there holidays, school breaks, or other events that might mean adjusting the schedule?
· If one club needs to skip a week, the other club may choose to take the week off or else do one of the bonus activities (see last section of the guide) while they wait for their partner club.
Be sure to confirm these dates before the first session begins. Check in regularly about the schedule—if you need to reschedule a session for some reason, let your partner club know right away.
