EFT: 0.8 EFT or 4 days per week

REMUNERATION: $80,000 pro rata per annum + generous salary packaging and superannuation

PURPOSE OF POSITION

To oversee the operations of Arts Access Victoria, ensuring effective systems and processes are in place to meet strategic goals and future directions of the organisation.

TERMS OF EMPLOYMENT

This position is a part time core employee of Arts Access Victoria and is covered by the Arts Access Victoria Enterprise Agreement 2004.

LOCATION

The position is primarily based in Arts Access Victoria’s administration offices at 222 Bank Street, South Melbourne.

MAJOR CONTACTS

This role interfaces with all staff of the organisation.

REPORTING RELATIONSHIPS:

This position reports directly to the Executive Director but works closely with all teams within the organisation.It has four direct reports.

MAJOR TASKS:

Regulatory and Compliance

  • Ensuring Arts Access Victoria meets all obligations with respect to laws, contracts, insurance, policies and procedures
  • Overseeing the implementation of AAV’s financial systems and processes

Communications

  • Overseeing the development and implementation of a communications plan
  • Supporting the communications team to deliver on the plan, ensuring improved awareness of AAV across the community

Grants Management

  • Supporting the execution of the organisation’s strategic and operational plan, effectively matching our funding needs with the funding interests of funders
  • Supporting staff in their preparation of funding applications to Trusts & Foundations at a program level
  • Overseeing the monitoring, reporting and acquittal of all grants

Quality Systems Management

  • Ensuring effective systems and processes are in place to maintain accreditation of the organisation’s quality system
  • Managing audit processes
  • Ensuring support to staff for effective implementation of QA systems
  • Identifying and implementing continuous improvement process

Business Operations

  • Overseeing administration, building maintenance and information technology functions of the organisation

Human Resources

  • Ensuring our HR processes reflect best practice standards and result in ‘employer of choice’ status for the organisation
  • Overseeing the staff selection, induction and training processes for the organisation
  • Ensuring the organisation’s compliance with its HR policies and procedures
  • Maintaining up to date information on HR policy and procedures.
  • Assisting staff with HR advice and information

Leadership

  • Contributing to leadership of the organisation by actively seeking opportunities to reinforce strategic goals and directions through internal and external relationships

SELECTION CRITERIA

Mandatory:

  • Qualifications in Business Management, Human Resource Management, or related fields;
  • Experience in Quality Assurance Systems Management;
  • Experience in Financial Systems Management;
  • Effective time management and ability to manage multiple tasks/projects and respond quickly to opportunities;
  • Effective people and relationship management skills, with the capacity to contribute to a positive and productive organisational culture;
