PROMOTER’S RULES AND CONDITIONS

I0W DISTANCE CHAMPIONSHIPS 2012

Licence meet Level 4

September 28th, October 5th, 6th and 7th , 2012

West Wight Sports Centre, Isle of Wight

ASA- All events will be conducted in accordance with ASA Laws and Technical Rules.

COMPETITORS- must be members of an Isle of Wight Club and registered with the ASA.

ENTRIES The closing date for entries will be the 11th September 2012. Late or ineligible entries will not be accepted. There will be no refunds for withdrawals after the closing date.

The entry fee will be £3 for all events and £4 for 1500m and 800m.

Please provide payment to your own Island Swimming club and clubs to submit one cheque to organisers.

Novice 200m Free - Please note that only those that have never swum competitively a 200m Free can enter the Novice 200m Free event.

Entries must be made on the form provided: photocopies of the official entry from will be acceptable. The form must be fully completed and legible. Entry times must be 25m pool times, converted from Long Course (50m) if necessary. Incomplete or illegible entry forms and entries without correct fees will not be accepted. If you do not have a time enter NT.

The promoter reserves the right to reject swimmers according to entry numbers and limitation to heat capacity in the allocated session time. This looks unlikely to occur, but if so, the slowest times will be rejected.

The Meet will run without entry cards. Competitors must register on arrival no later than 15 minutes before the start of their session.

AGES- As at the 31st of December, 2012.

AGE GROUPES- 10yrs and under, 11/12, 13/14, 15/16 17+ or Open.

Lanes will be allocated for the purpose of warm-up and announcements will be made. Diving will only be allowed in specified lanes.

Swimmers are responsible for reporting to the Competitor Stewards on time and at least two heats before their race.

The One-Start Rule will apply. All events will be run on a Heat Declared Winner (HDW) basis. The last heat in each event may be spearheaded.

All events will start at the deep end of the pool. Only swimmers with proficient dive starts will be allowed to start on the blocks.

Result sheets will be posted poolside soon after each event.

Spectator entrance will be charged at £1.00 per session which includes a programme. There will be a raffle at each session.

AWARDS - Medals will be awarded to those swimmers placed 1st to 3rd in each event and ribbons for 4th, 5th and 6th without disqualification. All medals will be presented on the day after the first 2 events and subsequently after each event. On the last day of the Distance Championships a top Male and Lady trophy will be presented for 15 year + age group and a top Boy trophy and top Girl trophy for age group 14 year and under.

SAFETY- All participants and spectators must observe all safety precautions in operation at The West Wight Sports Centre and follow instructions of Pool Staff. Prior to leaving poolside swimmers must dry off and put on appropriate clothing and footwear. No swimmers will be allowed into the spectator area or the Café and main entrance foyer area unless they have complied with this requirement. For safety reasons spectators must ensure that all gangways and the rear of the spectator area are kept clear.

Competitors are advised not to leave their belongings unattended and to ensure that all valuables are placed in a locker (£1).

Video Recording/Photography/Mobile Telephones.

In accordance with the recommendations of the ASA Child Protection Policy, any person wishing to engage in video, zoom or close range photography, including the use of mobile telephones with photographic capabilities, must first register their details on the form provided at the spectator entrance desk. They will be provided with an identification label (permit) which must be worn at all times. The Promoter reserves the right to refuse the granting of a permit. It is requested that all mobile telephones are switched off or switched to silent during the competition and that there is no flash photography at the start of each event.

Data Protection. With the submission of entry details, consent is deemed to have been given, as required of the Data Protection Act, to the holding, and distribution as necessary, of personal information on computer to enable the running of the Meet.

The Promoter reserves the right to amend the Conditions, without prior notice, to ensure the smooth running of the IOW Distance Championships.

For any matters not covered by these Conditions the IOW Distance Championships Management will make any decisions it deems necessary to provide for the satisfactory running of the competition. By submitting an entry participants have deemed to agree to such decisions.
