COMMUNICATIONS ASSISTANT – FIXED TERM UNITL 31 MARCH 2016
JOB DESCRIPTION
Responsible to: Marketing and Communications Officer
Objectives: To provide administration support to the Communication and Information team with specific responsibility to assist the Marketing and Communications Officer
MAIN RESPONSIBILITIES:
Online
1. Assist the marketing and communications officer with managing our websites (coinstreet.org and oxotower.co.uk) to ensure they are up-to-date, search engine optimisation is maximised, oversee Google AdWords campaigns and help develop our digital content to support Coin Street’s activities
2. Manage Coin Street’s and Oxo Tower Wharf’s pages on social networking sites (e.g. Twitter, Facebook) and be proactive in promoting Coin Street activities using social media
3. Work with the marketing and communication officer to develop additional digital promotional resources for Coin Street’s activities, such as online videos or adverts
4. Assist the marketing and communications officer with developing a programme of news stories and offers including liaising with commercial tenants regarding their news and offers
5. With the marketing officer compile and distribute regular e-newsletters
6. Ensure other websites hold up-to-date information on Coin Street’s activities
Print materials
1. Assist the marketing and communications officer with producing and distributing printed materials including brochures, posters and one-off leaflets produced in-house using InDesign
2. Work with freelance designers to manage the production of any additional marketing collateral
3. Ensure distribution lists and stocks of printed materials are properly maintained
4. Ensure all printed materials are up-to-date and available
Signage
1. Oversee Coin Street’s external poster and signage sites to ensure they are kept up to date and in good order, and contribute to overseeing any other signage and branding opportunities across the Coin Street site
Photo library and Contact Relationship Management [CRM]
1. Manage the current photo library, ensuring it is up-to-date and clearly organised
2. Take photographs of activities taking place across the Coin Street site
3. Work with freelance photographers to build on our photo library of Coin Street’s activities
4. Ensure contact details on the contact database are accurately entered, regularly updated and data captured is done so within Data Protection Act
PR support
1. Assist with writing press releases, selling in stories to journalists and following up
2. Maintain press contacts
3. Represent Coin Street at in-house and external events
Communication
1. Research, write and distribute regular newsletters for our commercial and residential tenants
2. Assist with internal communications including the Coin Street intranet
3. Develop and nurture relationships with internal communications contacts at local businesses and establish appropriate communication tools/methods to reach this audience
4. Develop and nurture relationships with local groups, schools, clubs and associations and establish appropriate communication tools/methods to reach this audience
General
1. To carry out administrative duties including general correspondence, dealing with enquiries, mail outs, photocopying, collating documents and filing.
2. Ensure all marketing materials are properly stored
3. Assist with collating feedback from users of Coin Street services for evaluation

PERSON SPECIFICATION
Essential criteria / Desirable criteriaQualifications / Good standard of education to GCSE (grade C or above) / Educated to degree level or equivalent
Experience / Experience in a marketing/communications team or similar environment
Abilities & skills / Knowledge and experience of using website content management systems such as WordPress
Excellent written and oral communication skills with the ability to produce creative marketing and communication campaigns for a range of media and audiences
Ability to confidently develop positive and productive working relationships with all users of Coin Street’s services
Organised approach, ability to manage own time effectively and work on own initiative
Excellent attention to detail
Experience of working under pressure and to meet tight deadlines without impact to quality of work
Excellent ICT skills and familiarity with MS Office / Knowledge and experience of integrating social media in marketing campaigns
Knowledge and experience of design software packages such as InDesign and Photoshop
Knowledge and experience of using Google Analytics and Google AdWords
Other / Enthusiastic, flexible and friendly approach
Ability to work outside “normal” office hours
