Job Summary
The Society for the Involvement of Good Neighbors (SIGN) in partnership with the Ministry of Social Services is seeking a Family Support Administrative Assistant to work within Yorkton to support program needs. The Family Support Administrative Assistant will work closely with the Program Manager and Assistant Manager to ensure clerical and administrative services are provided in an effective and efficient manner to ensure that program operations are maintained and enhanced as required. Accountability in producing, compiling reports and all data entry related to Family Support Programs is necessary.
The successful candidate should have the Education and Professional Experiences of:
- A degree or diploma in appropriate field or an equivalent combination of work experience and education that is acceptable to the Board of Directors
- One (1) to two (2) years of experience in an administrative role preferred
- Certification(s) and/or license(s) appropriate to industry
- A recent (6 months or less), clear Criminal Record Check and Vulnerable Sector Check is a requirement.
And the assets and abilities, inclusive of (but not limited to):
- Prepare, review, and/or edit various forms of correspondence such as letters, invoices, presentations, publications, and reports
- Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence
- Act as a first point of contact and provide general information to staff, clients, and the public relating to their questions, concerns, or suggestions
- Answer telephone and electronic inquiries and relay telephone calls and messages
- Refer and/or redirect calls, emails, or visitors as required
- Assist in the compilation of data for various reports
- Maintain a high level of confidentiality in all interactions
- Maintain and monitor office supply inventory levels; place orders as required; and arrange for servicing of office equipment
- Organize, maintain, and coordinate office records and files
- Photocopy and organize documents for distribution, mailing, binding, and filing
- Management of client files for all Family Support Programs
