Calendar of Event for Prekindergarten Registration
January 2017 - February
· Meet with Prekindergarten team to review forms and to evaluate process for new year
· Registration [Need to establish when and where] [Once this is decided the events may change some.]
o Dates, Times, Location
o Staffing needs
*Assessors and staff (paid from ESC- Special Services funds.)
o Materials for assessment (pens, tables, forms…)
o Order Forms, folders—ESC-Special Services
o Needed “Stations” and “Rotation “ Process
o Public Notice of Dates, Times, Location goes on WISD web, Peachjar, and WCN)
· Parents receive notice of meeting at each of the elementary campuses on WISD web
March
· First WCN and Peachjar notices
· Marquee (English/Spanish) at each elementary.
· Registration Packets available at all elementary campuses by May
· Prekindergarten Registration Packets go on-line and will be distributed to each elementary campus for parent availability
April
· Pre-meeting arrangements
o Tables
o Folders and Packets (stapled and ready to go) This will be done by Special Services Department
· Verify Materials and availability (boxed and ready)
o Student folders with attached checklist
o Pens/pencils
o Assessment materials (manual, picture cue book, game board for pre-literacy, student answer document)
o Food Service (applications, etc.)
o Signage for Stations/tables
o Table instructions in both English and Spanish
o Copier
· Do a walk-through of campus
o Establishing a schematic of the set-up
o Establish areas of use for FS Direct
· Staffing needs and confirmation emails, each assessor will need to bring manual, picture cue book, game board for pre-literacy assessment from their campus.
· Recommended Staff
o Assessor (4-6) [Campus will arrange]
o Station Managers (5 stations= 6-8 )
o Nurses (2) [Campus will arrange]
o Food Service (2) [Campus will arrange]
May-June
· WCN and Peachjar 2nd Notices
· Staff reminders and confirmations (second time)
o Reminder of time (all workers will need to be at site by Noon according to assigned schedule by campus administrator.
o Review on the first day to review tasks/station responsibilities
o Review procedures for submitting Supplement Pay Forms (reminder pay for professionals is $20 an hour and paraprofessionals paid their hourly rate). Individuals working will only be paid for time AFTER the contract day. [Have an example available. All Supplemental Pay Forms are FIRST submitted campus administrator for signature for verification and accuracy of information. Afterwards forms are to be submitted to Liz Garrett, Federal Programs and Special Services Coordinator at the end of the registration period.
o Remind assessor/s of materials to bring with them (manual, picture cue book, game board for pre-literacy)
o There will be assessment kits available, if necessary. ESC has 6 English and 6 Spanish kits.
· Materials needed (copier paper ordered and sent directly to campus, copier access, forms)
July - August
· Review of folders to establish eligibility
· Eligibility established and letters go home [pending food nutrition]*
· Parent letter for acceptance, pending assessment, immunizations etc.*
· Parent letter for denied eligibility to be mailed.*
· School Supply List (basic needs…) Posted on website
· Parent letter with placement in either a.m. or p.m. along with teacher name.
· PEIMS posting for PK 17-18
*Addressed by parent at registration and mailed by campus
