Longwood Universityseeks a qualified individual to lead the Registrar’s Office. The University Registrar is responsible for the leadership, management and strategic direction and maintenance of all registration business processes, student enrollment management, integrity of academic records and FERPA compliance. The Registrar will also participate in the advising of and ensure best practices for undeclared students, degree audit and completion operations that are efficient, responsive, data-informed and student-focused.

The University Registrar will report to the Associate Vice President for Enrollment Management and Student Success.

RESPONSIBILITIES:

  1. Registration Business Processes:
  • Facilitation of student registration including managing the creation and maintenance of semester course and final exam schedules; administer the student registration process; process student schedule change requests; manage the student registration communication plan.
  • Implement transfer credits evaluations, articulation agreements.
  • Manage residency determination, athletic eligibility/NCAA certifications, grading and end of term processing, graduation, enrollment and degree verification, production of official transcripts, and diplomas.
  • Supervise the Degree Audit Unit, responsible for advising undeclared students to facilitate career and major exploration and selection, monitoring progress toward degree completion, and certify degree completion.
  1. Student Enrollment Management:
  • Utilizes modern and innovative tools to support the institution’s enrollment, retention and graduation efforts.
  • Play a major role in assuring that students are provided with consistent, high-quality services aligned with Longwood’s efforts to maximize student achievement, including retention and timely degree completion.
  • Counsel and advise students, faculty and staff on academic matters; and interpret and enforce policies and regulations of the University.
  • The Registrar plays a leadership role in the design, implementation, maintenance and integration of Ellucian Student Banner and Degree Works as key information systems within the University.
  • Data Reporting: Provide expertise and direct support for data collection, reporting, and analysis for departmental, divisional, institutional and applicable external entities.
  1. Policy, Procedure and Compliance:
  • Serve as primary expert on FERPA, academic policies, as well as federal and state regulations. The Registrar ensures the integrity, accuracy, and security of all academic records of current and former students. The Registrar will be expected to provide FERPA training to all faculty, staff, students and all Longwood stakeholders.
  • Complies and edits the University Catalog;
  • Serves on various University committees as required; assists in the planning and organizing of Commencement activities.
  • The Registrar is responsible for working collaboratively and partnering with faculty and Academic Affairs to enhance student service, improve operations and academic policies.

QUALIFICATIONS:

  • Demonstrate a sophisticated understanding of the role of the University Registrar within a rapidly changing and complex higher education environment;
  • Experience developing and implementing a strategic direction for registration business processes, student enrollment management and the integrity of academic records that aligns with articulated goals.
  • Must be strategic, decisive, analytical and capable of bringing a sophisticated and resourceful approach to this role.
  • Keep current on operational and reporting trends, regulations and technology solutions for improving the efficiency and effectiveness of the Registrar’s office.
  • Demonstrated ability to develop relationships with key stakeholders on and off campus.
  • Excellent oral and written communication, ability to address multiple audiences, organizational and interpersonal skills.
  • Demonstrated ability to create a unique, high-touch customer service experience that consistently exceeds expectations.
  • Supervisory experience. Ability to attract and retain talent.
  • Collaborative, energetic and resourceful work style. Enjoys strategic thinking as well as rolling-up one’s sleeves.
  • Working knowledge of technologies (SIS, Degree Audit, CRM, social media, workflow, etc.) and use of data analytics in the strategic planning, organizing, and execution efforts to manage enrollment.

The position requires a master’s degree or bachelor’s degree with equivalent training and work experience. The individual selected will be expected to demonstrate a record of success in registration business processes, student enrollment, attention to detail, confidentiality of student records, exhibiting a capacity to work and communicate productively with multiple stakeholders. The individual must be a highly efficient, effective, results-oriented, driven individual with strong leadership skills, business acumen and the ability to develop, manage and inspire a talented and diverse professional staff. Preference will be given to candidates who have a successful record of implementing new and innovative approaches to student enrollment management, advising and analytics.
