Job Title:Part-time Administration Officer

Reports to:Finance Manager

Hours of work:20 hours per week (4hrs per day)

Salary:£12,000

Overall Purpose of Job

The admin officer’sprimary function is to provide admin support to the fundraising team with line management being provided by the Finance Manager. All members of the charity team deal with enquiries from potential donors, funders and individuals interested in supporting the charity. The post also has office-wide admin functions.

Key Responsibilities

  • Donation management - processing donations and entering data on the donation data base; banking daily takings
  • Day-to-day individual donor relationships – ensuring that donors records are kept up to date and that donors are appropriately thanked for contributions and that any queries are answered
  • General receptionist duties - answering the phone and dealing with visitors
  • General office administration - opening and distributing post, back up of software and general office duties such as photocopying, filing and responsibility for office equipment
  • Fundraising support – as appropriate supporting the work of the Fundraising Team, the Trusts Fundraiser and the Events Fundraiser
  • Occasional support for the programme team as part of an “exchange” approach that ensures that all staff retain an insight into and interest in all aspects of the charity’s work
Essential Experience/Skills
  • Systematic approach to the work and demonstrable experience of admin
  • Strong IT skills and experience of Access, Excel, Word and Outlook
  • Friendly and professional telephone manner
  • Ability to take responsibility for tasks and own workload
Desirable Experience/Skills
  • Fundraising /marketing background or other experience of third sector organisations
  • Experience of contact management data base
  • Experience of working in a small team

Essential Personal Qualities

  • Eye for detail and consistency in data entry
  • Good spelling with high level of accuracy maintained under pressure
  • Good communicator with strong interpersonal skills
  • Strong timekeeping
  • Ability to ask for help where necessary but manage own workload

  • Ability to adopt a flexible approach to the work pattern and to carry out any other duties as required, which may involve some out of hours work.
