MH/AODA On-Line Web Screen Release Notes

UPDATED OCTOBER 18, 2013

The following Release Notes detail the changes and new enhancements available with the Program Participation System (PPS) on-line web application through October 18, 2013. The different sets of releases are listed in reverse date order starting with the most recent.

October 18, 2013 releases

62321- MH/AODA: Display the SPC Delivery Month in Service and Status Summary

The SPC Delivery month is now displayed on the Service and Status summary page. For all SPC’s in the most recently used SPC list on this page, the Delivery Month is now displayed to distinguish the same ongoing service which has been entered on separate records for different Delivery Months.

62322- MH/AODA: Corrections in the Service Utilization Report to titles and decimals

The Service Utilization report title will now specify which module type is the subject of the report. For example, the titles are “PPS MH Service Utilization Report” or “PPS AODA Service Utilization Report”. Also, corrections were made to change results in the report displayed as long decimals such as 12.129999999999999 to shorter 2-digit decimals such as 12.13.

62323- MH/AODA: Addition of export capability to Workload Management report

In addition to viewing the Workload Management report results, the user can now export the results to an Excel file by clicking a new “Export” button at the bottom of the page. Both “Services” and “Status” reports can be exported.

In addition, the option of selecting multiple SPCs on which to run reports has been added. All possible SPCs are listed in a left window which can be selected by moving them with buttons to the right window. The “Local/Client data”field name has been corrected to “Local Client ID/Data”.

62356- AODA: Add AODA SPC Code 507.80

The SPC code 507.80 for Suboxone treatment has been added to the available list of AODA SPC codes.

62665- AODA: Removed requirement for admission and discharge data for codependents

The requirement forsome AODA admission and discharge data was removed when the client is a codependent (codependent='Y'). This data is no longer required at episode admission norwhen the client is discharged from a service SPC. The following fields are no longer required for codependents:

  • Education
  • Number of Arrests
  • Employment Status
  • Living Arrangement
  • Support Group
  • Pregnant
  • All “Substance Use” fields: Substance Problem, Substance Problem Rank Order, Age of First Drug Use, Route of Administration, and Use Frequency.

May 3, 2013 releases

60963 - MH/AODA Online: Enhanced and resolved issues from Workload Management page

A new criterion was added for Delivery Month To and Delivery Month From, so that user can search for services by their delivery dates.

Also resolved below issues from the Workload Management page

  • The results will now display all records that passedthe search criteria. Fifty 50 records will be displayed per page instead of just displaying the first 100.
  • Records in the result section will be sorted by Last name, First name.
  • Resolved issue of not displaying consumer’s records when there is no service attached to the episode.
  • Enhanced the search results for an ‘Out of Date Consumer Status’ report. In addition to displaying a list of consumers due for a status report, an ‘Add’ button is available which will take the user directly to a new Consumer Status data entry screen for entering new data. Also, clicking the ‘View/Edit’ icon will open the last completed consumer status report for review and edit.

60964 - MH/AODA Online: Resolved below issues from the Consumer Profile page

  • The County of Residence field is no longer hidden in case of a Brief service in AODA
  • The incorrect error message for an overlapping Episode Start Date between the Mental Health Consumer Profile page and Service page is eliminated.
  • Issue of displaying two sectionsin read-only mode for Characteristics in AODA and two sections for Primary Residence in MH.

60965 - MH/AODA Online: Resolved below issues from the Service Utilization Report

  • Issue of opening a blank white screen
  • Issue of not displaying SPCs having ‘Hours’ or ‘Other’ units of measurement.

March 1, 2013 releases

60837 – MH only: Episode Start Date

A batch county and a direct data entry county will be allowed to have simultaneous open episodes for the same applicant. Previously, the following error would occur if a direct data entry county attempted to open an episode for a client who was still open in a batch county: “PP292: The Episode Start Date cannot overlap with a previous episode.” Now, a direct data entry county will be allowed to open a client who is simultaneously open in a batch county without receiving an error message. This will give more time to a batch county to close out a client without preventing a direct data entry from opening an episode for the same client.

60933 – MH/AODA: Service codes (SPC’s)

A few service SPC codes will now be available to report in hours AND days. County feedback indicated that a few services were collected or billed for in both hours and days depending on the situation. Previously, the PPS system restricted each service to be reported in either hours or days, not both. Now, the PPS system will allow only the following 5 services to be reported in both hours and days by providing a different SPC code for each. Please note that Respite Care is only available for reporting in the mental health data system.

December 7, 2012 releases

58872 - MH/AODA Consumer Profile Page: County of Residence

The County of Residence field is no longer required if the consumer’s address is out of state. Thus, if the “State” field = Minnesota, Iowa, etc., then the requirement for County of Residence is released.

59317 - AODA Services Page: Target Group

The Target Group field is changed to be an optional field.

59317 - MH/AODA Services Pages: SPC Closing Reason

The following new SPC Closing Reason code was added: “19=Service is continuing”.

This code should be used when closing a daily service encounter although the same type of service encounters will continue next week, next month, etc. The code should also be used when closing a bundle of service units for a month/quarter, but the service will continue next month/quarter. Because this new SPC Closing Reason is actually not for a “closed” service, the requirement to complete the 5 AODA Closing Status fields is released when the closing reason = 19. The 5 AODA Closing Status fields are AODA use, arrests, employment, living arrangement, and support group attendance.

59317 - MH Services Page only: SPC and Episode Closing Reasons

The following SPC and Episode Closing Reasons for the MH module have been renumbered to match the previous HSRS codes when possible. The code for “Death” is the exception which could not be changed to match the previous HSRS code.

10 = Entered nursing home or institutional care

11 = No probable cause

12 = Death

Released on October 26, 2012 and before

55123 – MH Report Criteria Page

Dropdown list for Agency in the MH Report Criteria was displaying Agencies of type ‘ADRC’ along with ‘Mental Health’. Now this list displays agencies of type ‘Mental Health’, ‘Human Service Department (HSD)’, ‘Department of Social Services (DSS)’, and ‘Department of Community Programs (DCP)’.

55125 - MH/AODA Workload Management Page

The Agency dropdown list on the Workload Management Page was fixed to display agencies of type ADRC, ‘Human Service Department (HSD)’, ‘Department of Social Services (DSS)’, ‘Department of Community Programs (DCP)’, ‘Development Disability Board (DDB)’, Department of Aging, and Tribes.

55244 - MH/AODA Client Profile Pages: diagnosis codes

The decimal points for the following MH/AODA diagnosis codes were removed to match DSM-IV and ICD-9 code schemes: 311, 316, 317, and 319.

55275 - MH/AODA Services Page: provider information

The Services pages for Mental Health and AODA are modified to display provider information including Organization name, Address, City, State, Zip and NPI number.

The result table or grid for Service Summary and Workload Management pages were modified to display Provider name instead of just WPI number.

57884 – MH Consumer Profile Page: diagnoses

Edit established so that the Primary MH Axis I or II diagnosis code is the only required diagnosis field. All other MH or Medical Condition diagnoses may be entered, but cannot be saved without a Primary MH Axis I or II diagnosis being entered.

58088 – AODA Consumer Profile page: Special Project field

New optional field added to designate when clients are involved with special projects or when served as part of a special population. The dropdown value list includes:

03 = Dept of Corrections

04 = Healthy Beginnings

05 = Injection Drug Use

58299 - MH/AODA– Warning message for Uploaded episodes

The MH and AODA modules are modified to display a warning message when the user attempts to change data that has been uploaded via batch. The warning message will display as follows: “Information on this page has been uploaded by batch and should not be changed unless it is necessary, because if changed the data will be out of sync with County's data.”

58456 – AODA Services Page: SPC Closing status data

Modified edit so that the following fields are not required for SPC’s in Group 1, Group 2, and Group 4: 1) SPC end reason, and 2) the closing status data fields including AODA Use, Support Group Attendance, Employment, Arrests, and Living Arrangement.

58469 –MH and AODA Services Page: Provider search functionality

  1. Provider details will now populate the Service Details page when WPI/NPI number is entered without using the Provider Search Page.
  2. On the Provider Search page, searching for a provider with an apostrophe (‘) character in either its first name or last name is now allowed.

58786 – MH and AODA Individual Summary Page: Full Client Report

Resolved issue in which blank Full Client report was being generated.
