Approving Time – A Manager’s Quick Reference Guide

Welcome to your new online timesheet application! This guide will help you get started. For more thorough how-to documentation, please visit your local Hire Up office.

Login

In order to log in and start approving and rejecting timesheets, please refer to the email you received containing your username, password, and hyperlink.

If you did not receive an email, you can go directly to the site at https://hireup.bbo.bullhornstaffing.com/Login/ or find the link on our website www.hireupss.com under “Employers” and “Client Login.” While on this site you can request your password to be reset. Typically your user name is your email address.

Another option is to contact the Hire Up corporate office directly at 559-579-1331 and they can customize your user name and password for you.

Once you receive the email:

  1. Click the link in the email to launch the login page.
  2. In the Username field, enter your username.
  3. In the Password field, enter your password.
  4. If desired, select the Remember me on this computer check box do you don’t have to type your password in each time you want to log in.
  5. Click Log in.

NOTE: / If you forget your password, you can reset it at any time by clicking the Forgot Password link or contact Hire Up.

Approving, Rejecting, and Viewing the Details of Employee Time

Once logged in, the Awaiting Approval page displays. From this page you can approve or reject timesheets, as well as view more details about a timesheet.

  1. Select the check boxes to the left of the timesheets to approve, reject, or view.
  2. Do one of the following:

·  To approve the timesheet(s), click Approve.

·  To reject the timesheet(s), click Reject.

·  To view more details about the timesheet(s), click View PDF.

NOTE: / Once all of your employees have submitted their time for the current pay period, you will receive a notification email. You can take all of the actions outlined above directly from that email as well.

Things to be Aware of before Approving or Rejecting time

Paid Sick Leave – All Hire Up employees enter PSL time on their timecard in the same manner as they enter Regular time. The difference is that there should be a note entered by the employee on the timecard detailing that the time listed was unworked, and that they would like to use their available Paid Sick Leave that they have accrued prior to that pay period. Employees do not have PSL time available to them until they have been employed for over 90 days.

In order for the employee to use PSL time, we need you to verify the following:

  1. Was this employee regularly scheduled to work at this time? (Paid sick leave cannot be used for extra time or overtime outside of their normal shift)
  2. Did the employee notify you and Hire Up that they were missing this scheduled work time in advance?
  3. Was this time missed a qualifying reason? (i.e. Personal sick day, dependent sick, medical reason, family reason, etc. Please see below the Hire Up State Mandated Paid Sick Leave Policy)

If all of the above applies, Hire Up will adjust the timecard to only bill for the regular hours worked. The PSL time will be paid to the employee at the expense of Hire Up Staffing Services.

Please note that State Law requires that both Hire Up and the co-employer (company) where the employee is working accommodates the use of available PSL time without retaliation or risk of losing employment, even if the position is temporary. Please contact your Hire Up representative for more information on this rule.

Deadline for Payroll

Timecard Approval – Hire Up is unable to process payroll on the employee(s) under your direction until their timecard has been approved. Timecards must be approved no later than 5pm on Monday, following the week worked.

If timecards are not approved by this deadline, Hire Up may be forced to approve the timecards without verifying that the employee worked these hours. Clients/Employers will be billed for the hours that the employee stated that they worked. The only opportunity to verify or dispute hours that an employee stated the worked is if the timecard is rejected by Monday at 5pm.

If a timecard is not rejected, it is assumed that the hours are correct and will be processed in order to avoid delay in payment to that employee.

State Mandated Paid Sick Leave

Effective July 1, 2015, employees accrue state-mandated paid sick leave (“PSL”).

PSL accrues at the rate of one hour per every 30 hours worked. For purposes of calculating PSL, employees who are exempt from overtime as an administrator, executive or professional under the appropriate wage order will be deemed to work 40 hours per workweek. All other employees must keep a record of hours worked so that Hire Up Staffing Services can properly account for accrued sick leave. An employee is entitled to use accrued PSL beginning on the 90th day of employment.

Upon an oral or written request, an employee may use PSL for the diagnosis, care or treatment of an existing condition, or for the preventive care of the employee or a family member. PSL can also be taken by an employee who is a victim of domestic violence, sexual assault, or stalking. The employee should provide notice of the need for leave as soon as practicable, and in advance if foreseeable. Family members include a child (biological, adopted, foster, step), legal ward, child to whom the employee stands in loco parentis; parent (biological, adoptive, step), legal guardian of employee or employee’s spouse or registered domestic partner, person who stood in loco parentis when employee was a minor; spouse; registered domestic partner; grandparent; grandchild; and sibling. Employees must use PSL in at least two-hour increments.

An employee may accrue a maximum of 48 hours of PSL. Once the maximum is reached, the employee must reduce accrued PSL before accrual will recommence. An employee can use no more than 24 hours of PSL in each year of employment. Hire Up Staffing Services will not lend PSL to employees in advance of accrual. Unused PSL will not be paid to the employee at the separation of employment. However, if the employee is rehired by Hire Up Staffing Services within one year of the date of separation, previously accrued but unused PSL will be reinstated at rehire.

PSL will be paid at the employee’s hourly rate of pay. For employees paid different hourly pay rates within the last 90 days before taking PSL, or employees paid by commission, piece rate or nonexempt salaried employees, the rate of pay will be calculated by dividing the employee’s total wages, excluding overtime, by total hours worked.

A poster describing PSL rights is located in the employee resource center. Hire Up Staffing Services will maintain records documenting hours worked and PSL accrued and used, and will make them available within 21 days upon request.
