ACTION PLAN –FairfaxCountyCourthouse Evictions Prospecting

Purpose – to research and obtain name and mailing address information of landlords who have filed Unlawful Detainers in Alexandria within the past 6 months.

NOTE - There are 2 methods obtaining eviction filing data in Fairfax. The first involves going to the Courthouse, but enables date range searches. The second can be done over the web, but searches can only be done by Active or Inactive cases.

STEPS
  1. Go to the Judicial Center at 4110 Chain Bridge Rd, Fairfax, VA22030. Courthouse hours of operation are from 8:00 AM – 4:00 PM. Public parking is available in Garage B located on Page Avenue, between West Street and Judicial Drive, for a charge of 50 cents per half hour.

  1. Go to the FairfaxCounty Judicial Center at 4110 Chain Bridge Rd, Fairfax, VA22030

  1. Go to the 2nd floor, and sit at the single public computer terminal next to the Criminal Division counter.

  1. Set up laptop and open the blank pre-formatted Excel spreadsheet called Eviction List – TEMPLATE.xls

  1. Access the Case Management System. If the system is not accessible, go into the Judges Chambers to the right and ask them to call the Help Desk for assistance.

  1. From the Master Menu, enter V for the Civil Menu and hit the Num Pad Enter key in the lower right corner of the keyboard.

  1. From the Civil Menu, enter 7 for Hearing Search Request and hit Enter

  1. Tab to Case Type field and enter UD for Unlawful Detainer

  1. Enter Hearing Date range in MMDDYY format and hit Enter.

  1. You will see the Hearing Search Display showing the search results. The functions you can perform are
  2. F = Forward Page
  3. B = Previous Page
  4. I = Case Inquiry (open selected file)
  5. R = Search Request (return to Search screen)

  1. Locate the case you want to open, then enter I for Case Inquiry and tab the cursor to the case you want to open, then hit Enter

  1. If the Plaintiff (Landlord) is an individual, capture the Plaintiff Name, Address, and the Defendant’s Address (property address) into the formatted Excel spreadsheet. If no addresses are available, take down the Plaintiff name to search for the property and mailing addresses in MRIS Matrix
(NOTE – DO NOT include any symbols in the Address information, such as #, &, etc)
  1. Return to the Hearing Search Display by entering S for H/S Display and hitting the Enter key

  1. Go to Step 9 and process the entire Hearing Search Display list

  1. Look up the mailing and property addresses in MRISMatrix for those Plaintiffs without addresses.

  1. When finished processing all records, enter jurisdiction, the last date and last record processed in the Excel spreadsheet as a bookmark for the next search

  1. Save the Excel spreadsheet as Eviction-Fairfax-YYYY-MM-DD.xls, (where YYYY is the current year, MM month and DD day), and email the file to the Marketing Coordinator.

STEP / STAFF
  1. Open a browser and go to

  1. In the dropdown list, select Fairfax County General District, and click Begin

  1. On the next screen, select Civil and click Continue

  1. On the next screen, select Active Cases, in the Name field enter *, and click Search.

  1. Look for a case of type Unlawful Detainer where the Plaintiff is not a company and is either Pending or Closed within the last 6 months

  1. Note the Plaintiff’s (owner) name. Repeat Step 5 until you’ve gone through the entire list.

  1. Forward the list of Plaintiffs to appropriate EHB staff for lookup of property and mailing addresses.
