STANDARD OPERATING PROCEDURES

MPI to Eye – Editor Guidelines

Goals & Objectives: Edit and publish a free quarterly magazine which provides members a variety of tools for their profession including but not limited to education, membership updates, messages from the President, as well as up to date happenings in Philadelphia and the meetings industry. The magazine will also provide an outlet for sponsorship opportunities including mentions and write ups.

Committee Responsibilities

Editor

Ongoing:

  • Keep committee informed on all things Magazine related
  • Seek new committee members and writers

Preparing the Magazine:

  • Research other magazines to determine best practices and new ideas
  • Determine main topics and magazine theme
  • Assign writers and assist if needed on topics, ideas, etc.
  • Collect articles by deadline (usually 1 month prior to magazine being published)
  • Ask CBA to send the Graphic Designer necessary information

Editing the Magazine:

  • Edit individual articles with assistance of Lead Committee Members
  • Submit articles back to writer for final approval
  • Determine flow and layout of magazine
  • Submit for approval to Executive Committee and Director of Communications
  • Submit final draft to Graphic Designer (usually two weeks prior to magazine being published)

Make final edits and layout changes with Graphic Designer

  • Submit to CBA for final approval and edits
  • Submit final version of issue to CBA for publishing to website
  • Create weekly email blasts and submit to Committee Chair

Lead Committee Members

  • Participate in Creative Meetings with Editor before and after each issue
  • Assist in editing flow and layout (1 person)
  • Assist in editing individual articles (split between 2)

Other Committee Members (New)

  • Participate in quarterly calls just after each magazine is published
  • Write articles for the magazine
  • Assist with tasks including:
  • Email blast write ups
  • Photography & video selection
  • Follow up emails to writers and featured members
  • Quote/Fact Finders
  • Gathering Articles
