Association Administration Coordinator – Base Consulting and Management Inc.
We are looking for a strong, highly organized administrations/operational team member. You have an excellent understanding of current office systems and programs, can juggle multiple projects and deadlines and provide support to different teams concurrently!
Position requires 3-5 years of experience in a not-for-profit setting, together with an understanding of the association industry, governance and structures. It requires combined skills in association management and meeting planning.
Responsibilities
· Work with clients to support educational offerings and events
· Work with conference planning committees
· Meeting planning skills include (but are not limited to): site selection, negotiation of contracts, budgeting, dealing with suppliers, on-site management
· Association management skills include (but are not limited to): committee support, minute taking, marketing and communication
· Develop marketing materials and work in conjunction with client to implement marketing and communication planning vis-à-vis educational events
· Work with stakeholders and sponsors, as required
· Manage website content for events as required
· Perform other duties in support of senior team members
· Some travel is required
Qualifications
· Excellent written and spoken English
· Excellent written and spoken French is desirable
· Ability to prioritize, multi-task and demonstrate excellent time management skills
· Ability to work under tight timelines
· Interact with internal and external contacts, respond to and follow up on their requests
· Ability to work with limited guidance and support structures in complex and ever-changing environment
· Superior interpersonal skills to work with the staff and clients as a team player
· Excellent knowledge of modern office systems, practices, methods and procedures with a proven track record in a challenging and busy environment
· Excellent knowledge and experience with the following software: Office Suite (i.e. Word, Excel, PowerPoint, Outlook), Association Management and database management software, webinar tools
· Comfort level with variety of social media – i.e. maintaining LinkedIn, Facebook and Twitter updates for various clients
· Experience working in the not-for-profit sector
