Room booking facilities

Bookable rooms (full details on Room Booking website):

·  Presentation Room 101 (40 capacity; multi-media; individual desks)

·  Presentation Room 201 (40 capacity; multi-media; group-work or boardroom)

·  Meeting Room G02 (6 capacity; plasma screen)

·  Meeting Room 103 and 203 (8 capacity; plasma screen)

Rooms are set in a default layout; anyone wishing to change the format must either set and reset the room themselves or arrange a porter to do so; rooms must be returned to the default format after use or a call-out charge may be administered.

Other usable space (all wi-fi)

·  Ground floor foyer plus campus-PC access (not term-time day-time)

·  2nd floor foyer plus exhibition or buffet-catering space for Room 201

These areas are bookable via central room bookings in the first instance.

Opening hours

08:30-18:00 term-time and 08:30-17:00 vacations

The building does not have its own porter but is managed by the Helpdesk Team who open the facility at 08:30 and set the door to “exit-only” at 18:00 (17:00 Fridays and vacations). The Helpdesk Team will lock the bookable rooms at 18:00 and ensure that occupants of those rooms have left the building. Any member of Carrington Building staff still remaining in the building after 18:00 is responsible for setting the alarm and locking the main entrance.

Day-time bookings

Booking via central room bookings ; for advanced booking on the teaching timetable, priority is given to bookings for teaching and learning and then to Carrington Building occupants – allocation takes place around mid-April each year and then is opened up to general booking.

Freshers’ Week is regarded as coming under the term-time teaching timetable.

Ground floor foyer space will not normally be bookable during working hours for operational reasons; 2nd floor foyer space will normally only be booked in association with a booking in Presentation Room 201 (eg lunch).

Evening / weekend bookings

Booking via central room bookings; members of Carrington Building staff are responsible for supervising their own bookings and for the security of the building.

Other internal (staff) bookings are required to raise a WREN to arrange access and portering out-of-hours; a porter will be required on-site throughout the booking, unless someone is available to monitor access in and out of the main entrance at all times. Students may not book rooms unless a member of staff is present.

External bookings are referred to Commercial Services, who also arrange portering.

Catering

Catering is booked via Catering Services and is delivered to site; however, those making the booking are responsible for clearing up food and other waste into the bin-bag provided and packing containers into the crate for later pick-up (if this is not completed, a call-out charge may be administered). There are no support staff available in the building to carry out this task and Catering staff cannot guarantee to pick up until some hours after the booking.

Technical Services

Multi-media facilities are available in the Presentation Rooms, including a number of additional facilities such as DVD-recording. First-time users are advised to book a training session with IT Services, or ask for a technician to be on-site to set up the booking. Written instructions are provided for the use of AV equipment but no technicians are available on-site without at least 24-hours prior warning.

Health and Safety

Anyone making a booking in the Carrington Building must be responsible for the health and safety of the occupants within the room and must follow emergency evacuation instructions as appropriate.

Anyone occupying the building out-of-hours must sign the register at the Helpdesk.

First-aid is available via the Helpdesk or, out-of-hours, by calling Security on ext 6300.
