This role is funded through the ‘Widening Participation through Skills’ project which is supported by an investment from the European Social Fund until December 2018. This project aims to widen participation in higher level skills training within Cornwall, particularly targeting those least likely to enter higher levels.

Generic role of post:

This is a key customer focused role which requires initiative, attention to detail and drive to ensure every customer interaction delivers a great customer experience from initial enquiry to completion of their training.

To ensure all Rising Stars training activity is co-ordinated consistently whilst providing excellent customer service to internal and external customers.

To assist in the overall generation of sales revenue and the improvement of student related administrative functions.

To provide an efficient and effective administrative service within the Information Management and Data Services unit, in line with TCCG priorities, policies and procedures.

To meet deadlines, working with minimal supervision and supporting the promotion of a ‘Right First Time’ quality ethos within TCCG

Specific duties:

  • Support with dealing with inbound Rising Stars customer calls in an efficient manner to ensure every customer receives a great customer experience
  • Ensure that information input and held on ProSolution is accurately maintained at all times
  • Oversee and manage Course Co-ordination in conjunction with Customer Services team/Curriculum /Team Leads within the Cluster
  • Manage theRising Stars short course training schedule and other systems to proactively co-ordinaterelevant course activity in conjunction with relevant curriculum managers
  • Oversee pre course co-ordination
  • Course scheduling
  • Confirmation of trainer, venue and all learner requirements
  • Collation of course materials for trainer and learner
  • Ensure course offerings are accurate and up to date in conjunction with Team Leads
  • Preparation of Trainer and learner packs
  • Raise financial (Purchase and Sales) documents (pre and post course) complying with financial proceduresrelating to Commercial Activity in co-ordination with IMDS Finance Team
  • Understanding of all relevant funding and fees
  • Undertake training in relevant aspects of ProSolution input to ensure that the administration of learning activity is carried out in line with TCCG procedures, operational requirements and to meet critical deadlines
  • Update ProSolution and related systems with information in liaison with colleagues as appropriate both internal to IMDS and in the wider college
  • Assist team members in undertaking administrative activity supporting the learner journey as needed to meet peaks and troughs in workload, critical deadlines etc
  • Assist team members in supporting preparation for archiving, audit or other inspection activity when called upon to do so
  • Provide information to colleagues upon request, in line with Data Protection and Safeguarding guidelines
  • Participate and assist in promoting TCCG generally and Rising Stars in particular at Advice Mornings, Open Days and any other events that may be appropriate (including working weekends and evenings as required)
  • Follow a programme of planned staff development as identified through the TCCG Performance Management System.
  • Ensure effective communication, internally and externally, to ensure that the services provided by the Information Management and Data Services Unit continue to be of high quality.
  • In the spirit of good teamwork, be willing to undertake any other reasonable duties as directed by your line manager

PERSON SPECIFICATION

Qualifications

Essential:

  • Relevant qualification in Business Admin or similar level 3
  • Excellent IT skills

Desirable:

  • ECDL

Experience

Essential:

  • Proven high level skills in MS Word and Excel
  • Working in a busy administrative office that operates within strict regulations and deadlines
  • Face to face, on line and over the phone contact with a wide range of individuals and businesses
  • Working to a high level of accuracy

Desirable:

  • Experience of working in an educational establishment administration office

Additional:

The postholder must comply with the limitations placed upon TCCG by its registration under the Data Protection Act, particularly as this role will be dealing directly with student information.

This post may be required to travel to other TCCG sites on occasion.

If the role requires a staff member to use their own vehicle there is a legal requirement to hold business use category on their motor insurance policies.
