Important changes to the Job Description Templates for Support and Academic roles

Please ensure that the important update below is circulated to staff with responsibility for grading and resourcing activity.

Changes to the Support Staff Job Description Template

The job description templates as used for Job Evaluation (JE) and Recruitment have been combined,and replace all previous versions in order to streamline the JE and Recruitment processes.The key points surrounding the changes are summarised below:

  • A single job description template has been developed for all support roles (SPR and non SPR).
  • A set of Professional and Administrative Grade Descriptors have been developed in conjunction with Hay (our job evaluation scheme provider) to assist managers in identifying the level / grade of a role. The grade descriptors provide typical activities under the main job description template headings with particular focus on the statements of responsibilities for grades D to M. It is essential that managers use these grade descriptors when writing job descriptions for professional and administrative roles.
  • Work examples are still required for evaluation purposes, however the requirements as detailed in the guidance notes are more specific in order to minimise queries arising at UBJES evaluation panels. In particular, there should be between 3 and 5 work examplestotalling not more than one and a half sides of A4. They should primarily focus on planning and organising, decision-making, problem-solving, and the degree of autonomy in the role.
  • Two organisation charts (instead of one) should be provided to illustrate the whole division/school/process reporting structure, and the immediate reporting structure, unless it is possible to include all relevant roles in one chart.
  • Any potential health-related hazards should be included in the job description, in the statements of responsibilities section and/or the person specification section, as appropriate.
  • The New role form/Job Description Template, theRequest for Re-evaluation/Job Description Template, revised Guidance Notes,Professional and Administrative Grade Descriptors, Job hazards information, revised Job Description Examples for Professional/Administrative rolesand for Technical roles are now available.Managers should follow the guidance notes when submitting ajob description for JE or Recruitment.

Changes to the academic job description templates

In order to provide consistent information for academic roles, new further particulars templates and guidance have been developed for recruitment to pathway one roles, based on the established further particulars/job description template for professorial roles. Revised templates for pathways two, three and clinical academic roles are also being developed and will be launched soon.
