Planning session: Commercial City office

Attendees: Noloyiso, Gugu & Lungi

Interns:

Proposed rotation of interns on a quarterly basis to give them exposure to the different elements within the communication unit. Gugu has asked that the interns be briefed on their duties before they are paired with mentors.

Gugu also raised that team work plans were drafted and forwarded to Mr Mtshali as per his request after interns were allocated mentors, however no feedback was given on whether the documents were on par. I suggested that because Mr Mtshali has a lot of other pressing issues he is attending to, that the work plans be forwarded to myself and Nomonde in the interim.

Bi weekly plans:

The issue of bi weekly plans being submitted timeously was raised as well as what the wording/amount of detail that the plans should have. It was suggested that the plans reflect/compliment the KRAs in each person’s work plan to ensure everyone meets their targets.

Profiles:

Gugu asked that they be allowed to focus on profiles pending events picking up in the respective regions. The suggestion was that the profiles be done in advance so there is less pressure when it comes to submission for the internal newsletter, content that isn't dated will go towards the magazine. I suggested that when working towards the magazine profiles the team liaise with Lungi in advance to ensure that we have quality images.

Lungi asked that she only go to her region once a week until events pick up again, citing distance/kilometres.

Training:

My suggestion is that Gugu attend the IAJ’s creative writing five day course taking place between the 9th and 13th of March 2015.

I think it will benefit Lungi to attend the IAJ’s photojournalism for communicators course from the 13th to the 17th of April 2015. The layout and design course will also assist her with photo analysis and editing.

I would like to attend the mitigating a media crisis (also by the IAJ) on the 20 and 21st of April. If possible, I would also like to be part of the creative writing one (9th & 13th) as well as it has an editing in house publications aspect to it and the layout and design course too.

Royal Show:

The ladies asked that material be procured in advance for this event. Suggested pamphlets/brochures profiling each unit within the department as well as separate leaflets on WRIP and the national symbols etc. They would be compliling the content; they have asked that topics be given the go ahead in advance so they can begin working. The topic of having DAC camp chairs and gazebos also came up, especially for events that are ours where we can set up information desks.

Advanced driving:

Both Gugu and Lungi have requested to attend these lessons, they would like to know what process they need to follow to do so.

Overtime:

Both Gugu and Lungi would like to know if the additional hours they end up working due to an event being far and waiting for proceedings to wrap up before leaving etc will translate into them being paid overtime.
